Technical Writer – IT Projects & Systems Documentation

Location: Tallahassee, FL

Position Overview

We are seeking an experienced Technical Writer to serve as the primary documentation and communication lead for multiple IT initiatives. This role is responsible for developing, maintaining, and updating clear, accurate, and standards-compliant technical, business, and user documentation across the project lifecycle.

The ideal candidate is detail-oriented, self-directed, and comfortable working closely with project managers, business analysts, developers, and stakeholders to translate complex technical information into user-friendly, well-structured documentation.


Key Responsibilities

Documentation Development & Maintenance

  • Develop and maintain comprehensive technical documentation for IT projects

  • Create business documentation, including:

    • Project plans

    • Business cases

    • Business and system requirements

  • Produce user documentation, such as:

    • User guides

    • Manuals

    • Training and reference materials

  • Update and revise documentation as systems, processes, and requirements evolve

Collaboration & Information Gathering

  • Collaborate with IT project managers, business analysts, developers, and stakeholders

  • Conduct interviews, working sessions, and research to understand technical and business requirements

  • Document user stories, system requirements, and process flows

  • Review and edit documentation produced by other team members

Standards, Quality & Communication

  • Ensure all documentation is accurate, clear, concise, and consistent

  • Enforce organizational documentation standards and guidelines

  • Prepare status reports and support management briefings

  • Facilitate meetings and capture notes, decisions, and action items

Tools & Documentation Management

  • Use documentation tools and software to create, format, manage, and maintain documents

  • Organize content for easy access, version control, and reuse

  • Support multiple projects simultaneously while meeting deadlines


Required Qualifications

  • Bachelor’s degree from an accredited college or university in:

    • Computer Science

    • Information Systems

    • Technical Writing

    • Business Administration
      or 3 years of equivalent professional experience (education may be substituted year-for-year)

  • 3+ years of proven business or technical writing experience

  • Excellent written and verbal communication skills

  • Strong ability to translate technical concepts into user-friendly documentation

  • Expert proficiency with:

    • Microsoft Word

    • Excel

    • Visio

    • PowerPoint

    • Adobe Acrobat

  • Experience creating technical, business, and user documentation

  • Ability to work independently and manage multiple priorities

  • Strong attention to detail and organizational skills

  • Experience with meeting facilitation and documentation

  • Familiarity with project management methodologies and tools


Preferred Qualifications

  • Certification in Technical Writing or related field

  • Experience supporting state or federal government IT projects

  • Knowledge of industry documentation standards and best practices

  • Familiarity with SDLC methodologies (Agile, Scrum, Waterfall)

  • Experience with content management systems (CMS) and version control

  • Proficiency or exposure to:

    • Business intelligence tools (Power BI, Tableau)

    • Data analysis tools (SQL, Python, R, SAS)

    • Project management tools (MS Project, JIRA, Trello)

    • Databases or ERP systems

  • Experience with graphic design tools for diagrams and visuals

  • Understanding of cybersecurity principles and IT security standards

  • Experience conducting training sessions or workshops

  • Ability to create multimedia content (e.g., video tutorials)

  • Familiarity with UX design principles

  • Experience working in criminal justice or regulated IT environments
