Job Details

This position is responsible for implementing, maintaining, administering, and troubleshooting company email infrastructure. Supported solutions include Microsoft Exchange Server, Exchange Online, Exchange Hybrid, ProofPoint Email Gateway, SMTP relay s, RightFax Electronic Faxing, Outlook, Outlook Mobile, and Microsoft Teams Rooms.

JOB REQUIREMENTS

Education / Experience:

  • Bachelor s Degree in Computer Science, Engineering, or related field. Equivalent experience will be considered in lieu of a degree.
  • Minimum of 5 years of work experience designing, implementing, and supporting Exchange hybrid environments
  • Minimum of 2 years of experience in deploying and managing Proofpoint
  • Minimum of 2 years of experience managing mail clients in an enterprise environment.
  • PowerShell scripting experience
  • Previous experience in administering Microsoft Teams Conference rooms is highly desired
  • Knowledge of a wide array of Microsoft 365 Services and Azure configurations highly desired

MAJOR JOB RESPONSIBILITIES

  • Implementation, monitoring, and maintenance of the enterprise messaging and conferencing environment
  • Monitor messaging application performance and identify performance
    improvement options and monitoring opportunities
  • Research, troubleshoot, and resolve problems involving Messaging Systems and Mail clients, performing root cause analysis
  • Automate daily tasks using clean, maintainable code while following coding standards and managing projects through version control systems like Git
  • Ensure all messaging systems adhere to Enterprise security and compliance standards.
  • Identify, develop, validate and document work processes and automations that increase team effectiveness and promote self-service
  • Present ongoing initiatives and project updates to leadership, highlighting achievements, challenges, and future plans.
  • Research and make recommendations for implementation and communication of new features and capabilities within the Microsoft 365 suite
  • Communicate progress, problems and best practices to management, leads and team
  • Occasional travel for internal meetings and vendor conferences

Competencies, Knowledge, Skills

  • Administration and Management of Exchange Server/Exchange Online/Proofpoint
  • Administration and Management of Mail Clients including Outlook, OWA, and Outlook Mobile
  • Implementing and troubleshooting mail security best practices including anti-spam, anti-malware, bulk, SPF, DMARC, DKIM
  • Messaging compliance requirements including Legal Holds, E-discovery, Retention Policies, and Mailbox Archiving
  • Powershell/Graph Scripting
  • Strong ability to learn new technology and consume information quickly
  • Strong research, analytical and troubleshooting skills
  • Knowledge of data networking, computer system security, and technology infrastructure components
  • Proficient in working with MS Windows operating systems at both the server and workstation levels
  • Working knowledge of SMTP and TCP/IP protocols
  • Working knowledge of capacity planning and disaster recovery issues
  • Ability to effectively organize tasks, manage multiple priorities/details, meet schedules, and deliver on commitments
  • Ability to negotiate with and influence others internally as well as vendors
  • Ability to work independently

What this person actually does day-to-day:

  • Keeps the company s email up and running fixing issues quickly if something breaks or slows down.
  • Helps move parts of the system to the cloud and makes sure everything syncs and talks to each other properly.
  • Blocks spam, phishing, and malware from reaching people s inboxes, using special tools like ProofPoint.
  • Writes scripts to automate repetitive work so things run faster and smoother.
  • Manages conference room tech, like the systems that run video calls in meeting rooms (Teams Rooms, Logitech, etc.).
  • Follows rules and laws about how emails are stored, searched, and archived (for legal and compliance reasons).
  • Stays current on new tools and features from Microsoft and helps roll those out when they make sense.
  • Communicates clearly with leadership and the team about what s working, what s not, and what s coming next.

Ideal candidate:

  • Has a strong background in email systems, especially Microsoft Exchange.
  • Knows their way around email security and compliance tools.
  • Can write scripts (mainly using PowerShell) to automate tasks.
  • Has experience supporting enterprise tech, including mobile email and conference rooms.
  • Can work independently, manage multiple tasks, and explain technical problems and solutions to others.
