Position Overview
The IT Project Coordinator supports the planning, execution, and delivery of technology projects across the organization. This role works closely with project managers, technical teams, and business stakeholders to ensure projects are delivered on time, within scope, and within budget. The IT Project Coordinator is responsible for project documentation, task tracking, communication, purchase order management, and administrative support to keep projects running smoothly.
Key Responsibilities
- Assist project managers in developing project plans, schedules, and budgets.
- Coordinate and monitor day-to-day project activities, ensuring tasks are completed on time.
- Track project progress, identify risks or delays, and escalate issues as needed.
- Prepare and maintain project documentation, including meeting notes, status reports, and change requests.
- Serve as a point of contact for project stakeholders, ensuring clear and timely communication.
- Support resource planning, scheduling, and allocation for project tasks.
- Create and manage purchase orders (POs), track project expenses, and support budget reconciliation.
- Assist in managing vendor relationships and coordinating third-party deliverables.
- Facilitate project meetings by preparing agendas, documenting discussions, and tracking action items.
- Maintain project management tools (e.g., MS Project, JIRA, ServiceNow, or similar).
- Provide support for IT infrastructure and networking-related projects, coordinating with network engineers as needed.
- Ensure compliance with IT policies, procedures, and quality standards.
Qualifications
- Solid understanding of IT networking and/or other infrastructure fundamentals strongly preferred.
- 3+ years of experience in IT project coordination
- Familiarity with project management methodologies (Agile, Waterfall, or Hybrid).
- Strong organizational and multitasking skills with attention to detail.
- Proficiency with project management tools (e.g., MS Project, Smartsheet, JIRA, Asana, Trello).
- Experience creating and managing purchase orders and working with finance/procurement teams.
- Excellent written and verbal communication skills.
- Solid understanding of networking fundamentals helpful.
- Ability to work collaboratively with cross-functional teams.
