Job Description:
Fleet Car Coordinator supports the day-to-day operations of the company’s vehicle fleet. This mid-level role is ideal for someone with experience in fleet coordination or administrative support who can work efficiently, independently and collaboratively. A key focus of this role is supporting the AD of Field Operations, as well as Field Sales employees with their fleet-related needs, including vehicle logistics, issue resolution, and policy guidance.  The role involves direct interaction with drivers, coordination with vendors, and use of the Wheels fleet platform.

Key Responsibilities:

  • Serve as a primary point of contact for Field Sales employees regarding fleet-related questions, vehicle issues, and onboarding.
  • Assist with set up of Subaru Starlink for Canada drivers.
  • Coordinate vehicle deliveries, returns, maintenance scheduling, and service reminders.
  • Track vehicle assignments and ensuring driver records are up to date, including mileage logs, license renewals, and compliance documentation.
  • Monitor fleet inbox and respond to inquiries promptly and professionally.
  • Support new hire onboarding by sending welcome materials, coordinating vehicle setup, and providing guidance on fleet policies.
  • Liaise with vendors for status updates, open task resolution and any coordination needed for transfer of vehicles, assignment of storage vehicles, and termination notifications.
  • Collaborate with the Fleet Manager on special projects and initiatives to improve field support and fleet efficiency.
