Job Title: Project Coordinator
Location: 100% Remote (Must be based in the Irvine, CA area)
Travel: Occasional travel to the Irvine office for meetings and trainings
Expenses: Internet provided/reimbursed

Position Overview

We are seeking a highly organized, adaptable, and detail-oriented Project Coordinator to support our [District, Area, or Functional] team. In this role, you will manage assigned projects, coordinate communications, track deliverables, and ensure deadlines are met. The ideal candidate will be proactive, an excellent communicator, and comfortable in a fast-paced environment.

Key Responsibilities

  • Update and maintain tracking systems to ensure accurate and up-to-date project and program status, including third-party management systems.
  • Create and distribute internal and external correspondence related to the team, project, or program.
  • Assist with administrative preparations for meetings, trainings, and special events.
  • Monitor project milestones and communicate potential issues to management before they become critical.
  • Develop and maintain organized, accurate, and complete project files.
  • Generate ad hoc and scheduled reports as requested.
  • Provide additional administrative and project coordination support as needed.

Qualifications

Education:

  • High school diploma or equivalent required.

Experience:

  • Minimum 2+ years in a general business environment with project coordination and/or administrative support experience.

Skills & Abilities:

  • Proficient in Microsoft Office Suite and capable of learning new project management/tracking software.
  • Exceptional organizational and administrative skills.
  • Strong interpersonal and communication abilities.
  • Ability to adapt quickly in a dynamic, problem-solving environment.
  • Effective multitasking skills in a fast-paced setting.
  • Customer service-oriented with a proactive, solutions-focused mindset.

Working Conditions
