Job Description:
  • We are seeking the services of a Senior Business Analyst / Project Coordinator to provide expertise and guidance throughout the replacement of an existing system.
  • The successful candidate will lead assessment, requirements gathering, coordination, implementation, and post-implementation activities, ensuring smooth execution and delivery.
Responsibilities:
  • Conduct workshops, interviews, and surveys with stakeholders to understand existing processes, system functionality, and operational challenges.
  • Document workflows, data flows, system integrations, and dependencies to establish a clear understanding of the current environment.
  • Identify risks, gaps, and opportunities to inform requirements and solution design.
  • Lead the elicitation, analysis, and documentation of business, functional, and technical requirements.
  • Develop and maintain a Requirements Traceability Matrix (RTM).
  • Support preparation of Request for Proposal (RFP) documentation and vendor evaluation activities.
  • Develop and maintain detailed project plans including tasks, milestones, dependencies, and resource assignments.
  • Facilitate project meetings, provide status updates, and maintain risk and issue logs.
  • Collaborate with vendors and technical teams to ensure system configuration aligns with requirements.
  • Support data migration, testing, and validation efforts.
  • Develop and execute User Acceptance Testing (UAT) plans.
  • Create user training materials, reference guides, and conduct training sessions.
  • Support communication and change management strategies for smooth adoption.
  • Provide go-live support and assist in post-implementation stabilization and optimization.
  • Conduct post-implementation reviews and prepare lessons-learned documentation.
Deliverables:
  • Project Charter and Work Plan outlining project scope, objectives, governance, and timelines.
  • Current State Assessment Report detailing processes, integrations, and improvement opportunities.
  • Requirements Traceability Matrix ensuring full alignment between requirements and deliverables.
  • Complete RFP Documentation Package including requirements and evaluation criteria.
  • Vendor Evaluation and Recommendation Report summarizing proposal analysis and final recommendations.
  • Implementation and Migration Plan defining phases, data strategy, testing, and deployment approach.
  • Project Status Reports and Risk Register for progress and governance updates.
  • Training and Change Management Materials supporting user transition and adoption.
  • Post-Implementation Review and Lessons Learned Report summarizing outcomes and recommendations.
Requirement/Must Have:
  • Minimum of seven (7) years of experience as a Business Analyst leading system replacement or modernization projects, including requirements gathering, analysis, and implementation support.
  • Experience managing or coordinating multi-stakeholder projects involving business, technical, and vendor teams.
  • Proven ability to produce high-quality documentation such as process maps, requirements specifications, project plans, and risk registers.
  • Experience working within recognized project management or business analysis methodologies (BABOK, PMI, Agile, or Waterfall).
  • Ability to commence work within two weeks of contract award and commit to the engagement duration.
