Position Description
The Senior ECM Specialist will serve as the primary technical and functional expert responsible for leading the design, development, deployment, and maintenance of enterprise content management solutions. This position plays a critical role in driving digital transformation and ensuring optimal content lifecycle management across the organization. The ideal candidate will possess deep expertise in ECM platforms (e.g., Microsoft SharePoint, OpenText, Documentum, M-Files), metadata architecture, information governance, and integration with line-of-business applications.
This role requires strong collaboration skills to work with cross-functional business and IT stakeholders, applying best practices in document management, security, workflow automation, and data retention strategies. The ECM Specialist will be responsible for ensuring scalability, security, and compliance of content repositories and for supporting enterprise-wide digital workflows and automation initiatives.
Essential Duties and Responsibilities
- Lead ECM strategy development, roadmap planning, and platform governance.
- Architect and implement ECM solutions across departments, ensuring seamless content classification, tagging, and access control.
- Design and configure metadata models, taxonomies, and document templates to align with organizational content policies.
- Develop and maintain workflows for content ingestion, review/approval, versioning, archival, and disposal.
- Integrate ECM systems with enterprise platforms (e.g., ERP, CRM, HRIS) and legacy applications using APIs or middleware.
- Implement access control models and security protocols to enforce document confidentiality and compliance with data privacy regulations.
- Perform platform upgrades, patching, and performance tuning to ensure high availability and system integrity.
Optional Experience and Education Requirements:
- Bachelor's degree in computer science, Information Systems, or related field; master's degree preferred.
- Minimum of 8 years of progressive experience in Enterprise Content Management.
- At least 5 years of hands-on experience in leading ECM platform implementations, preferably in SharePoint Online, OpenText, or Documentum.
- Proven experience in developing complex document-centric workflows using Power Automate, K2, Nintex, or similar tools.
- Experience with cloud-hosted content services platforms and M365 integration is highly desirable.
- Experience with records management, data classification, and electronic document retention policies.
Knowledge, Skills, and Abilities
- Deep understanding of ECM platform architecture, service applications, search configuration, and content types.
- Strong expertise in metadata design, taxonomy creation, and document lifecycle management.
- Proficiency in scripting and development tools such as PowerShell, JavaScript, .NET, and REST APIs.
- Knowledge of security models (Active Directory, SAML, OAuth), encryption, and role-based access control.
- Familiarity with Agile/Scrum delivery methodologies and DevOps practices for ECM deployment.
- Support user adoption by conducting training sessions, creating technical documentation, and providing tier-2/3 support.
- Collaborate with information security and compliance teams to ensure regulatory requirements such as HIPAA, GDPR, or SOX are met.
- Excellent analytical, troubleshooting, and performance optimization skills.
- Strong verbal and written communication skills for stakeholder engagement and technical documentation.
- Ability to manage multiple projects simultaneously and meet tight deadlines in a fast-paced environment.
- Capable of mentoring junior team members and fostering a culture of continuous improvement.
- Manage third-party vendors and consultants for ECM platform support or development initiatives.
