Job Details

We are seeking a highly organized and proactive Office Administrator with strong recruitment skills to join our team. The ideal candidate will efficiently manage office operations while also playing a key role in our recruitment efforts. This dual role is crucial for maintaining a smooth-running office and attracting top talent to our organization.

Location: Milpitas, CA

Administrative Duties:

  • Manage day-to-day office operations, including scheduling, correspondence, and maintaining office supplies.
  • Coordinate and facilitate meetings, including preparing agendas and taking minutes.
  • Handle incoming calls, emails, and other communications, ensuring timely and professional responses.
  • Maintain office records and ensure all documentation is properly filed and accessible.
  • Assist with basic bookkeeping tasks, such as invoicing and budget tracking.
  • Support senior management with administrative tasks as needed.

Recruitment Duties:

  • Develop and post job advertisements on various job boards and social media platforms.
  • Screen resumes and applications to identify qualified candidates.
  • Conduct initial phone interviews and coordinate in-person interviews with hiring managers.
  • Manage candidate communications and ensure positive candidate experience throughout the hiring process.
  • Maintain and update the applicant tracking system (ATS) with accurate candidate information.
  • Assist in developing and implementing recruitment strategies to attract diverse talent.

Qualifications:

  • Bachelor s degree in Business Administration, Human Resources, or a related field (preferred).
  • Proven experience as an Office Administrator or in a similar administrative role.
  • Previous experience in recruitment or talent acquisition.
  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with office management software.
