Job Title: IT Communications Specialist

Work Location: Remote or Hybrid (onsite 2 3 days/week)

Office Location: 505 Broadway, Redwood City, CA 94063

Duration: 11 months (no extension or conversion) Contract W2

Hours: 40 hours/week (8 AM 5 PM, 1-hour lunch)

Role Overview

We re seeking an experienced communications professional to develop and deliver communications programs to support technology service initiatives and drive adoption. The ideal candidate is passionate about technology and technical content creation, with strong interest in change management and proven writing and editing experience.

Strong writing, editing, proofreading, and basic design skills are required. Experience with instructional design, storytelling, and digital accessibility best practices is a plus. Experience in an IT environment or higher education is beneficial.

Team Overview

The selected candidate will join a high-performing IT communications team supporting a large technology organization with 800+ employees and over 100 services offered across the university community. The role involves close collaboration with project managers, developers, service leads, and technical staff who value documentation, user assistance, and strategic communication.

Key Job Responsibilities

  • Recommend and execute communications strategies to achieve business objectives
  • Manage communication plans and programs in partnership with internal stakeholders
  • Implement integrated communication and brand strategies across various channels
  • Plan and execute event-related and internal communications
  • Support change management efforts

Additional Responsibilities

  • Develop strategic, impactful communications for IT service offerings and projects
  • Create and maintain content across digital channels (email, newsletters, web), ensuring compliance with brand and accessibility standards
  • Produce technical documentation, including self-service guides, FAQs, job aids, and toolkits
  • Identify training needs and develop online resources to support technology adoption
  • Write and revise communications and technical content from colleagues
  • Review content produced by staff, contract writers, and partner departments
  • Support communication ticket requests within the broader IT communications team

Required Qualifications

  • Bachelor s degree and at least 5 years of relevant experience, or equivalent combination
  • Ability to lead cross-functional teams toward shared goals
  • Strong project management experience with ability to manage multiple initiatives
  • Understanding of multichannel communication strategies
  • Self-directed with ability to work independently
  • Strong creative problem-solving skills
  • Excellent written, verbal, and presentation skills

Preferred Qualifications

  • Experience in IT and/or higher education; cybersecurity communications is a plus
  • Graphic design experience (Adobe Creative Suite or Canva)
  • Experience with Drupal CMS
  • Familiarity with HTML and CSS
  • Experience with collaboration tools (Slack, Google Workspace, Trello, Airtable)
  • Project management background
  • Knowledge of AP Style and digital accessibility standards
