Role/Title: Executive Briefing Center (EBC) Manager

Location: Santa Clara, CA (Onsite)

Duration: 12 months with high possibility of conversion depending on performance and team fit

Must Have:

Candidates must have experience in working at a Briefing Center. Need someone who can hit the ground running and will need minimal training and handholding.

Project Description:

As a Briefing Manager, you will play a vital role in delivering a world-class experience for our customers, partners, and internal stakeholders during Executive Briefings. This role supports the day-to-day operations of the Briefing Center and ensures every engagement runs seamlessly whether in-person or virtual. You will serve as the front-line ambassador of the EBC, helping to personalize and execute each interaction with professionalism, precision, and attention to detail.

Experience:

  • REQUIRED: at least 2-3 years of experience in a Briefing Center.
  • Exceptional attention to detail and organizational skills.
  • Strong customer service orientation with professional presence and diplomacy.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Comfortable working independently and taking initiative.
  • Strong problem-solving skills and adaptability under pressure.
  • Proficiency with Microsoft Office, Google Workspace, and/or Apple platforms.
  • Experience working with cross-functional teams and executives is a plus.

Key Responsibilities:

  • Customer & Briefing Support
    • Provide concierge-level service to customers, including welcome and escort (onsite or virtual), troubleshooting support, and hospitality coordination.
    • Personalize customer collateral, signage, and welcome displays for each engagement.
    • Coordinate dining, lodging, transportation, and entertainment logistics when needed.
    • Act as a liaison with vendors (catering, hotels, transportation, gifts, etc.).
  • Briefing Logistics & Operations
    • Schedule customer engagements and internal events in collaboration with the Briefing Program Manager
    • Collect engagement details from account teams, including attendee info, dietary needs, agenda inputs, and logistics.
    • Prepare and distribute name badges, tent cards, feedback forms, and collateral.
    • Ensure meeting rooms are set up with all required materials and A/V tech and refresh as needed throughout the day.
    • Maintain the daily EBC schedule and share with security, reception, and facilities teams.
    • Coordinate catering orders, setup/breakdown, cleanup, and procurement tracking.
  • Center & Facilities Management
    • Ensure the EBC and kitchen areas are clean, well-stocked, and presentation ready.
    • Work closely with Facilities to address maintenance or setup issues (e.g., lighting, plants, AV equipment).
    • Manage inventory of supplies, giveaways, and collateral.
  • Data & Reporting
    • Track and input briefing feedback into the briefing management system.
    • Compile and distribute monthly summaries and engagement reports for key stakeholders.
    • Maintain internal dashboards and update briefing-related displays across the center.
  • Team Collaboration & Administration
    • Organize internal team meetings and support ad hoc events in the Briefing Center.
    • Provide administrative assistance to the Senior Program Manager as needed.
    • Participate in regular planning meetings to ensure alignment across teams.
