Job Title: Project Coordinator
Duration: 6 Months (Tentative)
Location: Quincy, MA (Hybrid)

Summary:

A dynamic Administrative Project Coordinator is needed to support executive leadership within an Information Technology environment. This role involves managing core administrative responsibilities and coordinating mission-critical activities for the Chief Information Office (CIO). The ideal candidate will be highly organized, proactive, and comfortable in a fast-paced, performance-driven workplace. Proficiency in Microsoft Office tools is essential to succeed in this role.

Job Duties and Responsibilities:

  • Manage special projects by setting objectives, prioritizing tasks, tracking progress, and resolving issues.

  • Conduct research and data analysis to prepare detailed reports, charts, and graphs.

  • Coordinate monthly executive meetings, including agenda preparation, presentation materials, correspondence, and follow-up actions.

  • Provide calendar management support for the SCIO (as a backup).

  • Assist in meeting preparation, including developing agendas and assembling materials.

  • Track and send reminders for overdue action items and follow-ups.

  • Attend meetings, take minutes, and organize electronic and physical materials.

  • Coordinate off-site meetings and events as needed.

  • Support daily facilities-related issues and serve as liaison for IT Safety concerns at the Quincy office.

  • Order and manage central IT office supplies.

  • Prepare and track H1B letters and coordinate with the legal department as needed.

  • Assist in educating staff on office policies and maintaining a professional office culture.

  • Provide general administrative support to the IT department, including live support when necessary.

  • Perform other administrative tasks as assigned.

Required Skills and Experience:

  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Access, Visio).

  • Ability to handle confidential information with discretion.

  • Excellent written and verbal communication skills.

  • Capable of working independently with minimal supervision.

  • Skilled in complex administrative tasks requiring independent judgment and reasoning.

  • Familiarity with IT concepts and processes is a plus.

  • Experience preparing charts, graphs, and pivot tables.

  • Strong multitasking and prioritization abilities.

  • Highly organized with excellent planning skills.

  • Self-motivated, detail-oriented, and eager to learn.

  • Comfortable working in a hybrid/remote environment with minimal distractions and a high-speed internet connection.

Education:

  • Bachelor s degree in business or a related field, or equivalent experience.
