Administrative Coordinator | Massachusetts | Contract
Walker Healthforce is seeking an Administrative Coordinator with 3-5+ Years of Experience. This is a 13- week contract opportunity.START DATE: 9/15/25
HOURS/SCHEDULE: 07:30 AM - 04:00 PM
CORE REQUIREMENTS:
- High School diploma or GED required; Associate's or Bachelor’s degree preferred
- 3–5 years of administrative experience.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with hospital systems such as Epic, PeopleSoft, or Kronos is a plus.
- Excellent interpersonal, verbal, and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to handle sensitive and confidential information with discretion.
- Capable of multitasking and prioritizing in a dynamic clinical setting.
JOB RESPONSIBILITIES:
- Coordinates daily administrative operations, including scheduling, correspondence, meeting preparation, and follow-up.
- Serves as a primary point of contact for department inquiries; triages phone calls and emails appropriately.
- Assists in the coordination of clinical, academic, and/or research activities as applicable to the department.
- Prepares, edits, and maintains various documents including reports, spreadsheets, presentations, and meeting minutes.
- Schedules appointments, manages calendars for leadership, and arranges meetings or conferences.
- Processes invoices, expense reports, reimbursements, and department supply orders.
- Supports hiring and onboarding processes for new staff, including coordinating interviews and handling documentation.
- Maintains and organizes confidential files, records, and departmental databases in compliance with hospital policies.
- Ensures compliance with BIDMC policies and healthcare regulations related to administrative procedures.
- Participates in continuous improvement initiatives to optimize workflows and service delivery.
