They are seeking a Shipping and Receiving Administrator to support production in an ITAR (International Traffic in Arms Regulations) environment. This role requires a combination of administrative, logistical, and compliance-related skills. The ideal candidate will possess a unique blend of administrative proficiency, logistical expertise, and compliance knowledge to effectively manage shipping operations while ensuring compliance with regulations and security protocols.

Responsibilities

  • Prepare and review all necessary shipping documentation, including commercial invoices, packing lists, certificates of origin, and shipping instructions.
  • Ensure compliance with international trade regulations and customs requirements to prevent delays or penalties.
  • Coordinate and schedule the transportation of goods with freight forwarders, carriers, and other logistics partners.
  • Track and monitor the progress of shipments to ensure on-time delivery and provide timely updates to relevant parties.
  • Stay informed about changes in customs regulations and ensure adherence to import/export compliance standards.
  • Maintain accurate and organized records of all export-related transactions, ensuring compliance with company policies and audit requirements.

Required Skills & Experience

  • Bachelor s degree or the equivalent combination of education and experience in a related field.
  • Proven experience in shipping coordination, export logistics, and documentation management.
  • Knowledge of international trade regulations, customs procedures, and Incoterms.
  • Deep knowledge of ITAR Regulations: Understanding of ITAR regulations and compliance requirements is crucial for handling shipments involving defense-related materials or technologies. This includes knowledge of export controls, licensing requirements, and restrictions on the transfer of defense articles.
  • Logistics Management: Proficiency in logistics management, including coordinating shipments, arranging transportation, managing inventory, and ensuring timely delivery of goods. This involves attention to detail, organizational skills, and the ability to multitask effectively.
  • Inventory Management: Experience in inventory management systems and processes, including tracking and monitoring inventory levels, conducting periodic audits, and managing stock levels to meet operational needs.
  • High level of Documentation and Record Keeping: Strong documentation skills are essential for maintaining accurate records of shipping and receiving activities, including preparing shipping documents, customs declarations, and export compliance documentation. Attention to detail and adherence to record-keeping requirements are critical for compliance purposes.
  • Attention to Security Protocols: Awareness of security protocols and procedures for handling sensitive or classified materials in a defense environment. This includes following strict security measures for handling, storing, and transporting defense-related items to prevent unauthorized access or loss.
  • Communication Skills: Effective communication skills are essential for interacting with internal teams, external vendors, shipping carriers, and government agencies involved in the shipping and receiving process. This includes clear and concise communication to ensure compliance with regulations and to address any issues or concerns that may arise.
  • Problem-Solving Abilities: The ability to identify and resolve shipping-related issues or discrepancies, such as delivery delays, damaged shipments, or customs clearance issues.
