Position Overview
We are seeking a highly organized and proactive HR/Personal Administrator/Assistant to support our growing company. This hybrid role combines foundational HR administrative responsibilities with executive-level support for the CEO. While current HR activity does not yet require full-time capacity, this position will also assist with calendar coordination, administrative tasks, sales support, and special projects.
The ideal candidate is detail-oriented, discreet, professional, and comfortable shifting between HR duties and personal/executive support tasks.
Key Responsibilities
Human Resources Administration
- Coordinate new-hire onboarding including offer letters, background checks, employment forms, and orientation scheduling.
- Manage employee documentation and maintain accurate HR records in compliance with company policies and federal/state regulations.
- Administer I-9 verification and immigration-related documentation (such as visa support, status tracking, and communication with external immigration counsel).
- Serve as a point of contact for employee questions regarding HR policies and benefits.
- Assist with updating and maintaining the employee handbook, HR policies, and internal workflows.
- Support payroll and benefits administration tasks as needed (data entry, documentation follow-up, status changes).
- Prepare ad-hoc reports and assist with audits and compliance tasks.
Executive & Personal Support for the CEO
- Manage the CEO s calendar, appointments, meetings, and travel arrangements.
- Coordinate logistics for internal/external meetings, including preparation of agendas, materials, and follow-ups.
- Assist with personal tasks and errands as requested to support overall time management and efficiency.
- Maintain confidentiality and handle sensitive information with exceptional discretion.
Sales & Administrative Support
- Assist the sales team with scheduling, client communications, basic CRM updates, and follow-up tasks.
- Prepare documents, presentations, and correspondence for internal and external stakeholders.
- Identifying opportunities and bringing new clients.
Travel & Special Projects
- Domestic or international travel may be required to support company events, meetings, or CEO logistics.
- Participate in special projects and cross-department initiatives as assigned.
Qualifications
- 2+ years of experience in HR administration, office administration, executive support, or related roles.
- Knowledge of HR compliance practices including onboarding, I-9 verification, and employee documentation.
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- High level of professionalism, confidentiality, and judgment.
- Proficiency in Microsoft Office Suite, Google Workspace, and standard office technologies.
- Ability to work independently and adapt to changing priorities.
