Position: Payroll Lead / Consultant US Benefits

Overview:

We are seeking a Payroll Certified Workday Payroll Lead / Consultant to join the Kainos team on the Access Group Phase 2 project. The ideal candidate will have strong hands-on experience with Workday Payroll and payroll launch implementations, focusing on US Benefits and Payroll Integrations.

There are two roles available under this engagement:

  • Payroll Lead: ~445 hours
  • Payroll Consultant: ~222 hours
    (Approximately 20 hours per week total across both roles.)

Key Responsibilities:

  • Lead and support Workday Payroll implementation for U.S. payroll operations and benefits integrations.
  • Liaise with cross-functional teams (Benefits, Integrations, Finance) to ensure seamless payroll processes.
  • Configure, validate, and test payroll elements including pay components, deductions, accumulations, and balances.
  • Set up and manage payroll banking configurations, payment elections, and payslip/check layouts.
  • Oversee general ledger mappings, journal posting rules, and costing allocations.
  • Support payroll tax setup (federal, state, and local), ACA reporting (1095 C/B), and W-2 configuration.
  • Execute payroll processing activities including off-cycle payments, retro processing, and audit report configuration.
  • Manage involuntary deductions, garnishments, and payroll reconciliation activities.
  • Participate in payroll go-live, launch, and post-implementation support.
  • Ensure compliance with U.S. payroll and tax regulations

Qualifications:

  • Must have active U.S. Payroll Certification.
  • Proven experience implementing and launching Workday Payroll solutions.
  • Experience leading payroll and benefits integrations in a large enterprise environment.
  • Strong understanding of U.S. payroll compliance, tax reporting, and GL integrations.
  • Excellent analytical, problem-solving, and communication skills.
  • Prior experience with similar Access Group / Kainos projects is a plus.
  • Canadian Payroll Certification is preferred for the parallel Canadian-focused role.

Technical Scope:

The project includes configuration and delivery of:

  • Banking: Payment election rules (up to 2 bank accounts and routing rules)
  • Checks & Payslips: Delivered check and payslip layouts
  • Costing Allocations: Single-dimension worker costing allocations
  • General Ledger: Fiscal schedules, journal sources, ledger configuration, and posting rules
  • Pay Components: Up to 150 earnings and deductions; net pay validation, arrears, pay accumulations
  • Payroll Processing: 2 pay groups, off-cycle and retro processing, audit configurations
  • Tax Reporting: Federal, state, and local tax setup; ACA 1095 C/B; W-2 setup
  • Data Conversion: Payroll balances, worker tax elections, and payment elections
