Description

Position: IT Purchasing and Operations Coordinator

Location: Campbell, CA (On-site, Monday-Friday, 9:00 AM-6:00 PM)

We're seeking an experienced IT Purchasing and Operations Coordinator to streamline our client's internal procurement and service coordination processes. The ideal candidate will possess deep familiarity with technical purchasing workflows, vendor engagement, and operational systems. You will interface directly with suppliers, clients, and technical teams to ensure accuracy, compliance, and timely fulfillment within the IT services framework.

Responsibilities:
  • Execute end-to-end IT procurement: pricing, supplier coordination, PO issuance, and product delivery tracking.
  • Generate technical sales quotes and client invoices using standardized systems and data inputs.
  • Liaise with hardware/software vendors to identify optimal SKUs and configurations aligned to client specs.
  • Manage inbound service requests and help desk ticket triage within IT ticketing platforms.
  • Apply escalation logic and route incident or service tickets to correct internal support tiers.
  • Produce client-facing operational reports and service delivery metrics at weekly/monthly intervals.
  • Compile and submit billing data, payment authorizations, and vendor submissions for reconciliation.
  • Maintain accuracy in documentation workflows including approvals (e.g., DocuSign), purchase logs, and client records.
  • Support operations managers in refining internal procedures and implementing service improvement initiatives.
  • Provide technical onboarding and SOP training for new hires related to purchasing, ticketing, and service delivery tools.


Requirements

Technical Qualifications:
  • Minimum 5 years' experience in IT purchasing, administrative operations, or sales support functions.
  • Proven expertise with IT procurement platforms and ticket management systems (e.g., ConnectWise, ServiceNow, Zendesk).
  • Strong command of Microsoft Excel for data analysis, reporting, and documentation workflows.
  • Familiarity with IT service delivery models and core technologies (hardware, licensing, cloud products).
  • Strong organizational skills with a process-oriented mindset and documentation precision.
  • Effective written and verbal communication in both client-facing and technical contexts.
  • Ability to thrive in high-volume, SLA-driven environments with multiple competing priorities.
