Job Details

Job Title: Administrative Coordinator (Part-Time)

Position Overview:
We are seeking a detail-oriented Operations & Accounting Administrative Coordinator to support leadership team by managing day-to-day administrative and accounting-related tasks. This role exists to free senior leaders from routine operational work so they can remain focused on high-level priorities.

Key Responsibilities:

  • Administrative Support:

    • Sending out digital signature documents via DocuSign
    • Managing departmental accounting tasks: reviewing transactions, deposits, and processing invoices
    • Submitting purchase orders (POs), reclassifications, and accrual entries
    • Coordinating parts procurement through our ordering system
    • Liaising with the uniform supplier for order placement and invoice payments
    • Purchasing equipment and machinery from dealerships, ensuring best pricing and specifications
    • Arranging catering services for departmental events
    • Coordinating and organizing department events and meetings
    • Handling mailroom duties, including distributing mail and packages
  • Testing Responsibilities (if applicable):

    • Assisting in quality assurance and product testing as needed (clarify if required)

Work Schedule:
This is a part-time onsite position with the following upcoming time blocks:

  • Tuesday: 3:00 PM – 5:00 PM
  • Wednesday: 9:00 AM – 12:00 PM
  • Friday: 2:30 PM – 4:00 PM

Qualifications:

  • Proven experience in administrative roles or office support
  • Strong organizational and multitasking skills
  • Proficiency with digital tools such as DocuSign, Excel, and purchasing systems
  • Excellent communication and interpersonal skills
  • Ability to work independently and prioritize tasks effectively
  • Previous experience with accounting or procurement is a plus

Pay Rate: $20.00 - $30.00 Hourly
