Administrative Services Manager

 

Summary: We are seeking a dedicated Administrative Services Manager for a full-time contract position to support staff and business operations. This role involves developing and revising contracts, maintaining fiscal accountability, and working closely with clients to manage administrative and fiscal functions. The manager will review financial reports, provide recommendations, and perform general administrative duties to support program operations. This is a hybrid role requiring in-office presence 1 to 2 days per month, with some in-state travel. Candidates must reside in or be willing to relocate to Tennessee.

 

Responsibilities:

  • Prepare, edit, and finalize meeting minutes and notes for accuracy and distribution.
  • Ensure timely storage and sharing of meeting minutes with relevant staff and partners.
  • Monitor fund allocation and review expenditures to ensure compliance with funding guidelines.
  • Review, monitor, and analyze budgets and expenditures to align with fiscal goals.
  • Prepare and submit documents for competitive procurement and track the process.
  • Perform general administrative duties to support program operations as needed.

Qualifications:

  • Five or more years of increasingly responsible professional administrative experience.
  • Proficient in writing and oral communication skills.
  • Experience in budget monitoring and expenditure analysis.
  • Strategic and critical thinking skills for outcome achievement.
  • Creative problem-solving abilities.
  • Strong collaboration skills and the ability to work as part of a team.
  • Exceptional interpersonal skills with a collaborative and energetic approach.
  • Ability to develop and maintain effective partnerships and collaborations.
  • Bachelor's degree from an accredited institution (or equivalent experience may substitute).
