Summary:
  • A vital role in driving operational excellence through effective project transformation office administration. This hybrid position offers the opportunity to work with cross-functional teams while supporting critical business initiatives in a dynamic environment.
Key Responsibilities:
  • Project Administration: Manage scheduling, coordinate meetings, oversee email communications, manage Teams and folder, and track project invoices and deliverables
  • Process Optimization: Analyze and refine project workflows to enhance efficiency, productivity, and outcomes across the organization
  • Continuous Improvement: Identify bottlenecks, eliminate redundancies, and implement solutions that add measurable value to project goals
  • Stakeholder Coordination: Collaborate with internal teams and external partners to ensure seamless project execution
  • Process Development: Assist in developing and implementing new processes that align with organizational objectives
  • Project Support: Provide comprehensive administrative and analytical support to project management/transformation office
  • Task Management: Prioritize competing demands and adapt to changing timelines while maintaining quality standards
Required Qualifications:
  • Bachelor's degree required
  • Minimum of 5 years experience as a project coordinator
  • Exceptional verbal and written communication skills
  • Strong organizational abilities with attention to detail
  • Flexibility and adaptability in ambiguous, fast-paced environments
  • Analytical and problem-solving capabilities
  • Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, Project, Word), Teams including exposure to Smartsheet
  • Must be legally authorized to work in the United States without sponsorship
  • Reliable attendance and punctuality essential

  • Hybrid Schedule: Minimum of 2 days on-site per week (Wednesdays required) at Willis Tower
  • Local Candidates Only
  • Travel: Minimal to no business travel required
