Position Overview
We are seeking a highly skilled and neutral Project Manager to lead coordination efforts for a statewide consortium of over 30 judicial entities collaborating on a shared electronic Case Management System (CMS). This role is a "Non-IT" professional services position focused on stakeholder management, governance support, and statewide strategic alignment rather than technical software development.
The successful candidate will act as the central point of contact for the consortium’s governance structure, ensuring that communication flows effectively between executive steering committees and technical subcommittees. This is a high-visibility role requiring exceptional facilitation skills and the ability to synthesize complex implementation data from multiple independent organizations.
Key Responsibilities
- Governance & Meeting Management: Drive the preparation of comprehensive meeting agendas, supporting materials, and executive summaries for the User Group and Steering Committee. Proactively track action items and ensure accountability across all participating entities.
- Statewide Risk & Issue Tracking: Develop and maintain a centralized process to monitor system implementation matters, shared initiatives, and potential escalation items relevant to the entire consortium.
- Schedule Synthesis: Monitor implementation timelines across various participating organizations, identifying critical dependencies and issues that require executive intervention.
- Strategic Support: Facilitate the preparation of materials for funding requests, system enhancements, and strategic alignment initiatives for committee review.
- Collaborative Facilitation: Foster a culture of shared learning and problem-solving among 32+ independent stakeholders to identify opportunities for statewide process alignment.
- Stakeholder Communication: Provide regular updates to leadership and participate in biweekly, monthly, and quarterly coordination meetings.
Required Skills & Experience
- Project Management Expertise: Extensive experience in project coordination, preferably within the public sector, judicial, or legal industry.
- Stakeholder Management: Proven track record of managing complex relationships across multiple independent organizations and facilitating consensus among executive-level stakeholders.
- Strategic Communication: Superior written and verbal communication skills, including the ability to synthesize technical implementation schedules into executive-level reports.
- Administrative Oversight: Exceptional organizational skills for tracking multi-entity action items, risks, and meeting outcomes.
- Technical Literacy: Ability to navigate and utilize Microsoft SharePoint and Teams for documentation and collaboration. While this is a non-technical role, candidates must understand the lifecycle of a Case Management System (CMS) implementation.
- Neutral Facilitation: Ability to operate in a neutral capacity, supporting the collective priorities of a diverse group of stakeholders.
Work Environment & Schedule (Part time 20-40 hours per week)
- Remote: The role is fully remote with no anticipated travel requirements.
- Hours: There is no fixed 40-hour weekly requirement; the level of effort is determined by the tasks and deliverables necessary to meet the group’s governance and coordination needs.
- Tools: Primary collaboration will occur via Microsoft SharePoint and Teams.
