Job Description:

The User Acceptance Coordinator will serve as a liaison between users/stakeholders and IT implementation teams on cross-functional projects, in accordance with the User Acceptance Framework. The User Acceptance Framework defines an enhanced relationship between IT and the user community through early and frequent engagement, greater transparency from IT and users, and high levels of collaboration throughout the SDLC.

The UAT Coordinator will be responsible for developing Acceptance Test Plans, ensuring completion of User Acceptance Checklists, updating Execution Plans, and delivering weekly status updates. The UAT Coordinator will own the reporting of User Acceptance metrics and analysis of KPIs. The UAT Coordinator will also work with Quality and Release Management leadership to maintain processes and practices necessary to retain accurate information and to improve them as needed.

Job responsibilities

  • Coordinate varying User Acceptance preparations and activities for dedicated Early Business Testing (EBT) and User Acceptance Testing (UAT) periods, including, but not limited to, data needs, access needs, environment needs, business scenario documentation, etc.
  • Create User Acceptance test plans in collaboration with the business managers/stakeholders, business users, business analysts, IT teams, and project managers.
  • Monitor User Acceptance Testing [execution] efforts and work with users to record and mitigate any issues/delays.
  • Manage relationships with both internal and external teams/customers/stakeholders.
  • Provide critical feedback and action-oriented recommendations that provide value for User Acceptance processes across the enterprise.
  • Collaborate with end users from various levels and departments on User Acceptance planning efforts, such as test case creation, training, and readiness reviews for projects and major planned releases.
  • Participate in functional demonstrations of system changes alongside the development team and business analysts (system and project).
  • Ensure that all entrance and exit criteria for beginning User Acceptance Testing have been met, and track them via the User Acceptance Checklist.
  • Provide weekly User Acceptance statuses on test execution and bugs to all stakeholders.
  • Obtain formal/written User Acceptance (approval) from stakeholders.

Requirements

  • Experience serving as a liaison between business users, stakeholders, and IT implementation teams on enterprise projects.
  • 3-5+ years of experience in UAT, QA, Business Analysis, or related SDLC-focused roles.
  • Strong understanding of User Acceptance Testing processes, Early Business Testing (EBT), and User Acceptance Frameworks.
  • Hands-on experience developing User Acceptance Test Plans, test cases, execution plans, and readiness checklists.
  • Ability to coordinate UAT preparations, including data setup, access needs, environment readiness, and scenario documentation.
  • Experience in monitoring UAT execution, tracking issues, facilitating defect triage, and mitigating delays.
  • Working knowledge of SDLC methodologies (Agile, Waterfall, hybrid).
  • Proficiency with defect tracking and project tools such as JIRA, Azure DevOps, ServiceNow, Client ALM, Confluence, SharePoint, Excel, or Smartsheet.
  • Ability to analyze and report on UAT metrics, KPIs, defects, trends, and readiness indicators.
  • Strong skills in providing weekly UAT status updates and communicating progress to stakeholders.
  • Ability to partner with Quality Assurance and Release Management teams to maintain and improve testing processes.
  • Strong relationship-management skills with internal and external stakeholders at multiple levels and departments.
  • Experience participating in functional system demos and translating technical concepts for business users.
  • Ability to obtain formal UAT approvals and ensure all entrance/exit criteria are met.
  • Excellent communication, organization, problem-solving, and multitasking skills with a focus on continuous improvement.
