OVERVIEW:
Hendall is seeking a reliable and detail-oriented Administrative Support Specialist to provide full-time, on-site support to a U.S. Department of Transportation Learning System team in Oklahoma City. This role will support daily operations, including preparing instructors and course materials, coordinating meetings, maintaining office organization, and assisting with logistics related to training and development efforts.
DUTIES:
Prepare training materials and support instructors before and during learning sessions
Coordinate and schedule internal and external meetings, both virtual and in-person
Manage calendars, meeting invites, room reservations, and basic AV support
Maintain and organize physical and digital office records
Order and track office supplies and training materials
Serve as an onsite point of contact for administrative and logistical needs
Support onboarding of visiting trainers and staff
Assist in data entry, reporting, and documentation related to the learning system
Liaise with both management lead and client staff to ensure smooth daily operations
MINIMUM QUALIFICATIONS:
Associate degree or higher required
2+ years of experience in administrative or office support roles
Strong organizational and communication skills
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Ability to work independently and manage multiple priorities
Experience supporting training or educational programs is a plus
Must be able to pass background screening and any client-specific clearance requirements
Salary Range: $42,000 to $52,000 per year, depending on experience and qualifications
Location: This position is based fully on-site at a Department of Transportation facility in Oklahoma City, OK
Work Environment: Standard business hours, Monday through Friday; Occasional need for early setup or extended hours during training events
