Position Title - Facilities & Support Assistants

Location - Washington DC

Position type - Contract

Candidate will assist in providing the Corporation's support services functions to include mail sorting/processing, delivery, courier, and delivery services; serving as Corporate receptionist to include providing Front Office
backup coverage as required; serving as the primary or backup driver for the President and Executive Vice President of the Corporation; and/or stocking, controlling and issuance of office supplies in Washington, DC.
This position routinely works with the highest level of management within Client; therefore, the person should have excellent customer service.

Minimum Experience:
Two (2) years of experience working in construction management, warehouse/mail management, service & maintenance, engineering, facilities / space / building and/or project management.
Minimum Education H.S. Diploma or 4+ years of experience may be substituted for H.S. Diploma in one of the following fields:
Construction / Engineering / Facilities / Space / Building management
Project Management discipline with a focus in facilities management or engineering or building Assists with receipt, dispatch and delivery of all internal and external mail received and dispatched by the Corporation.

This includes preparing mail for external delivery - applying correct postage via the use of the Neopost mail machine and packing and delivering to the building's mailroom for pick up by USPS and FedEx.
Assists in the procurement, storage, and distribution of office supplies and equipment. This includes specialized supplies, and administrative equipment such as furniture, office machines, filing equipment, etc. Assures that adequate
quantities of regular supplies and printed forms are available to client staff, including pickup from local sources. Works in a variety of locations ranging from general office space to conference rooms.
Performs work that requires the employee to stand, stoop, bend and requires heavy lifting or handling of heavy furniture and equipment. Frequently lifts or carries supplies, materials, and equipment that weight up to 50 pounds. Assists in loading/unloading and moving office furniture, supplies, and equipment. Tasks will also include assisting with, setting up conference rooms, hanging white boards/pictures, receiving, tagging, and delivery of property.
Shall be responsible to perform small office moves which include pick up and drop off packing boxes within client Agency offices; inventory the various types of keys/cores used on different furniture, at moments notification, able to
assist customers with lock outs, can change out lost keys on lateral cabinets, overheads, and key boxes.
Supports client sponsored events and assists other facility administrative services personnel with projects.
Immediately contacts the appropriate service technician when any equipment within the mail room or copy center is malfunctioning.

Receives maintenance calls from staff, logs each call for tracking purposes. Escort's vendors and monitors repairs or required corrective action. serve as security escort to contract vendors to accomplish office installs and de-installations.
Keeps in contact with service vendors to ensure that repairs are performed in a timely matter. Informs supervisor when maintenance of equipment is not provides in accordance with established contracts.
Supports the operation of audio-visual equipment for agency meetings, testing capability and functionality. Ensures A/V room and equipment properly secured during hours of non-operation.
Monitor's postage expenditures to ensure sufficient funds are available for postage. Compiles and maintains statistics for postage activities. Analyzes data and submits reports.
Ensures mail is properly marked with correct class and postage equipment is functional, Participates in development of policies and procedures relative to overall program.
Serve as receptionist for the client main desk on an ad-hoc basis coverage
Conference Room Set-ups and Office Shall assist with the scheduling of maintenance of government vehicles which includes coordinating with vendors for various services.
Assist with property inventories and preparing equipment turn in with our office.
Other related facilities and logistical support tasks as necessary within the building.
Office equipment management.
Shipping and receiving management.
Office supply management.
Driving/transportation services, including back-up driving coverage.
Assistance with construction and preventative maintenance management.
Technical services in support of mailroom services management.
