Responsibilities
The client's requests the services of one Business Analyst to focus on CAPPS Business Process Documentation & Training Specialist, hereafter referred to as worker. The worker must meet the general qualification of Business Analyst, and the specifications outlined in this document by the client.
Business Analyst to be responsible for documenting and analyzing business processes, creating detailed procedural documentation, and designing and delivering CAPPS (Centralized Accounting and Payroll/Personnel System) training for client's staff. This role will ensure that all business processes are well-documented and aligned with CAPPS functionality, providing the client's team with clear and accurate training materials and support. The Business Analyst will also track and communicate changes to business processes that require updates to procedures, policies, and training. This role requires excellent communication, organizational skills, and a strong understanding of both CAPPS and client's operational needs.
Functional responsibilities:
- Business Process Documentation: Develop and document high-level business process diagrams to illustrate client's workflows and ensure they are aligned with organizational goals and objectives.
- Business Process Changes: Collaborate with business stakeholders to understand process changes and ensure proper updates are made to documentation, procedures, and training materials.
- Documentation of Procedures: Create and maintain detailed documentation of client's Finance procedures and policies as they pertain to CAPPS, ensuring clarity and accuracy for reference and training purposes.
- Design Training Programs: Develop and customize training content specifically for client's staff on CAPPS functionality, covering areas such as budgeting, general accounting, and accounts receivable.
- Conduct Training Sessions: Lead training sessions for client's staff, both in-person and virtually, ensuring they have the necessary knowledge and skills to use CAPPS effectively in their roles.
- Support and Troubleshooting: Provide ongoing support to client's staff by answering questions, addressing concerns, and troubleshooting system-related issues that may arise during the training and user acceptance testing process.
- Evaluate Training Effectiveness: Assess the effectiveness of training programs through feedback surveys and performance assessments, adjusting content and delivery methods as necessary.
- Collaborate with other project team members and Subject Matter Experts.
- Assist with other agency training initiatives, as needed.
- Complete information security training as administered by client.
Professional Expectations:
- Attends all meetings, meets delivery deadlines and is available during client's office hours.
- Logs in and remains on agency Jabber during work hours.
- Attends remote meetings with camera on unless prior arranged for camera off.
- Coordinates leave and vacation with client lead.
- Must dress appropriately for a business/business casual environment.
- Communicates respectfully and works harmoniously with all co-workers, customers and vendors.
- Provides exceptional customer service.
- Is flexible; able to work under pressure and; able to adapt to change; and able to work on multiple problems and tasks.
- Takes initiative to prevent and solve problems.
Qualifications
Minimum (Required):
14 years of:
- Experience in business analysis, process documentation, or training, preferably within CAPPS or an enterprise resource planning (ERP) environment.
10 years of:
- Experience with CAPPS, preferably during an implementation.
6 years of:
- Experience in training, instructional design, or system implementation, preferably within a public sector or large organization.
4 years of:
- Experience with finance and accounting operations, including system support, particularly as it relates to public sector systems.
0 years of:
- Strong background in process mapping, creating step-by-step procedures, and business process documentation.
- Strong communication and presentation skills, with the ability to explain complex concepts in a clear and engaging manner.
- Problem-solving mindset with the ability to address and resolve technical and training-related issues.
- Ability to work independently, collaborate with cross-functional teams and manage multiple projects simultaneously.
Preferred (Optional):
- Certification or training in instructional design, adult education, or a related field.
- Previous experience working with a state agency on CAPPS implementation
- Experience with virtual training platforms and tools.
