Summary:


To key-in daily business transactions into accounting ERP system such as SAP & Q-Book, handle MIS, manage bank, customers & vendors accounts and other MIS compliance for the branch. Also to set up systems, process and check points for SOP implementation. To ensure adherence to SOP in the branch as well as to manage financial accounting, MIS and all legal compliances for the branch and support the trade team.



Branch Controller Responsibilities:



  • Ensure booking of all types of financial records in accounting system and maintained in compliance with accepted accounting policies, standards, system and procedures.

  • Timely preparation and reconciliation of all financial statements and sending the same to HO

  • Coordination with Banks for securing trade finance / limits

  • Preparation of daily, weekly and monthly MIS for the branch and sending consolidated MIS for subsidiaries to HO.

  • Monitoring and maintenance of accounting control procedures.

  • Financial audit preparation and co-ordinate the audit process.

  • Inventory management.

  • Compliance to SOP Guidelines.

  • Maintenance of Bank account, Reconciliation, Daily funds Report + Daily Receivables report for management review.

  • Local Legal compliance including renewal of licenses as and when required.

  • Cash Management

  • Support the trade team in executing deals (specifically deals within the country) i.e., KYC compliance, engagement & follow-up with customers/ suppliers, engagement with the banks.

  • Monitoring & capturing paper trade

  • Ensure smooth functioning of the branch office.

  • Dealing with various branches for transactions / reconciliation of accounts.

  • Recovery of payment on time since the incumbent will be dealing with local buyers and suppliers.

  • Managing account reconciliation.

  • Compliance with all local laws.



In Trade Operations:



  • Coordinate with the barge providers, their contracts & its execution

  • Coordinate with the warehouse providers, it's contracts and execution

  • Documentation related to barge and warehouses

  • Generating sales purchases contract, invoices and securing payments in time

  • Stock taking including visits to warehouses

  • Insurance of cargoes

  • Credit insurance if required

  • KYC of customers and follow our internal SOPs in on boarding clients

  • Follow SOPs of advances to suppliers and credits to buyers if any

  • Coordinate compliances

  • Coordinate with banks for payments



Accountability:



  • Keying-in daily business transactions in the accounting ERP system like Q- Book / SAP

  • Preparation & Review of daily Bank reconciliation.

  • Preparation of Daily report of Receivables & payables with due dates of receipt payment for funds management.

  • Funds planning and management at various bank accounts.

  • Preparing and analyzing financial statements and trading account of the branch - including profit and loss statements and monthly closing and cost accounting reports.

  • Maintenance of Fixed Assets Register.

  • Coordination's with clients, bankers, Insurance companies, shipping /barge operators, inspection companies, buyers, sellers

  • Supervise barge movements for local sale

  • Monitoring and reviewing accounting and related system reports for accuracy and completeness including Ledger scrutiny.

  • Review and manage all payments, follow up with outstanding debtors and escalate overdue advances and debts.

  • Managing account reconciliation and compliance of branches and/or subsidiary Company.

  • Analyzing revenue and expenditure trends and recommend appropriate budget levels and ensure expenditure control.

  • Assisting for defining credit limits, advance limits, open position limits etc. to control the Business Risk

  • Preparation of various management reports like Product wise monthly performance, Quarterly results etc

  • Keeping various data base for periodical management review meetings & presentations.

  • Assisting in developing & implementing efficient policies, procedures & practices and internal control.

  • Compliance to various legal requirements of business.

  • Interacting with internal and external auditors in completing audits.

  • Ensuring Compliance to SOP guidelines for various business transactions requiring approval hierarchy at various stages.

  • Contract management - reviewing financial aspects of the contract.

  • Ensure smooth functioning of the branch office.



Qualifications:



  • CA/CPA/ MBA qualified and having knowledge of accounting principles, Systems, Banking & Trade finance and maintenance of accounting system is desirable.

  • At least 5-7 years of experience in accounting, finance & Documentation & well versed with accounting concepts.

  • Prefer to have the good knowledge of accounting ERP system like SAP/Q-Book, power point, excel & word etc.

  • Knowledge of financial and accounting software applications.

  • Strong commercial acumen, analytical skills and attention to details.

  • Knowledge for local taxation laws, compliances.

  • Ability to manage the branch operations independently.
