Job Title: Business Office Management Associate

Objective:

We are seeking a detail-oriented and highly organized professional with strong experience in Workforce Management, Vendor Resource Coordination, and Advanced Excel Reporting to support operational and resource planning activities. Ideal candidates will have a strong data analysis mindset and experience managing headcount and vendor data in a fast-paced environment.

Core Responsibilities:

Vendor Resource Management:

  • Manage the contractor lifecycle: onboarding, renewal, and roll-off of global vendor resources.
  • Coordinate with project managers, staffing office, and procurement to process work orders, Statements of Work (SOW), and amendments.

Headcount & Budget Management:

  • Monitor and maintain headcount data (FTEs and contractors) from vendor reports and internal systems.
  • Prepare and submit headcount and budget summaries for leadership approvals.
  • Provide regular and ad hoc reports tailored for executive and senior management consumption.

Data Reporting & Operations:

  • Maintain a centralized repository of resource assignments, counts, and other relevant project staffing details.
  • Present data using advanced Excel skills, including tabular and graphical reports.

Required Skills & Qualifications:

  • 5+ years of experience in a Workforce Management, Business Operations, or Resource Coordination role.
  • Demonstrated data analysis skills with a strong ability to manage large and complex data sets.
  • Expert-level Excel skills including:
    • VLOOKUP, XLOOKUP
    • Pivot Tables
    • Conditional Formatting
    • Macros & Scripts (VBA preferred)
    • Data slicers and filters
    • Joins and data normalization techniques
  • Strong attention to detail and the ability to meet tight deadlines.
  • Proven experience in manual data assimilation, cleaning, and transforming datasets into actionable insights.
  • Bachelor s degree in Finance, Business Administration, or a related field (or equivalent experience).

Preferred Attributes:

  • Prior experience working in a financial institution or with a vendor management system.
  • Familiarity with procurement or staffing coordination processes.
  • Ability to communicate complex data insights to non-technical stakeholders.
