Job Description
We're seeking a detail-oriented Administrative II to provide essential administrative support to our laboratory team working on the St. Louis Formerly Utilized Sites Remedial Action Program (FUSRAP). This critical role focuses on managing and preparing sample delivery group files for loading into the Federal Environmental Data Management System (FEDMS). You'll work full-time at our St. Louis laboratory facility, ensuring data accuracy, completeness, and regulatory compliance for environmental sampling documentation.
Duties and Responsibilities
• Manage and prepare sample delivery group files for accurate loading into the Federal Environmental Data Management System (FEDMS)
• Become proficient with laboratory data management system (Matrix) and maintain working knowledge of system capabilities
• Navigate and utilize laboratory internal server systems for document storage and retrieval
• Interface with the FEDMS off-site database to ensure proper data transfer and documentation
• Review paperwork and documentation for completeness before final assembly and submission
• Conduct thorough quality checks to identify and correct clerical errors in laboratory documentation
• Verify that all required material data is present and properly documented before file submission
• Communicate professionally with Data Management Group to facilitate data verification and validation processes
• Coordinate off-site data storage through Iron Mountain records management system
• Maintain organized filing systems for sample data and associated laboratory paperwork
• Provide administrative assistance to clinical and scientific team members as needed
• Support general laboratory administration tasks including scheduling, correspondence, and record-keeping
• Ensure compliance with federal environmental data management protocols and quality standards
• Maintain confidentiality and security of sensitive environmental data and laboratory information
Required Experience/Skills
• High school diploma or equivalent with 1-3 years of administrative or data entry experience
• Proficiency with Microsoft Office Suite including Excel, Word, Outlook, and Teams
• Experience with Adobe Pro for PDF document management and editing
• Familiarity with database entry and data management systems
• Exceptional attention to detail with ability to identify errors and inconsistencies in documentation
• Strong organizational skills with ability to manage multiple files and deadlines simultaneously
• Excellent written and verbal communication skills for coordinating with internal teams and external stakeholders
• Ability to work independently with minimal supervision while maintaining quality standards
• Comfort working afternoon/evening shift hours (1:30 PM - 10:00 PM), Monday through Friday
• Professional demeanor when interacting with laboratory personnel and data management teams
• Ability to learn new software systems and technical processes quickly
Nice-to-Haves
• Previous experience working in laboratory or scientific environments
• Familiarity with environmental sampling procedures and terminology
• Background in records management or document control systems
• Experience with federal data management systems or regulatory compliance documentation
• Knowledge of quality assurance/quality control (QA/QC) procedures
• Previous work with Iron Mountain or similar records storage services
• Experience in environmental remediation, hazardous waste management, or related fields
• Understanding of chain of custody procedures for laboratory samples
Education
High school diploma or GED equivalent required. Some college coursework in business administration, environmental science, or related field is a plus but not required.
