Job Description:
Role: Event Coordinator
Location: Miramar, FL(Onsite)
Position Overview:
We are seeking a highly organized and computer-savvy Meeting and Events Coordinator to manage daily meetings and events across 10 conference rooms. This position is ideal for a professional with strong communication and problem-solving skills who is interested in the hospitality and corporate event management field. The role requires excellent attention to detail, the ability to multitask, and the capacity to adapt quickly in a fast-paced environment.

Key Responsibilities:
  • Manage and maintain the conference room calendar in Outlook.
  • Acknowledge, confirm, and track all meeting requests and reservations.
  • Coordinate room setup times and ensure that space and equipment requirements are met.
  • Collaborate with team members on furniture reconfigurations and event setups.
  • Assist with food and beverage arrangements for meetings and events.
  • Handle last-minute meeting reshuffles or room changes due to space constraints.
  • Maintain accurate records of equipment and room usage for tracking and reporting.
  • Provide excellent customer service and communication with staff and guests.
  • Support the mailroom and facilities team with additional operational tasks as needed.
  • Solve logistical and scheduling issues efficiently in a dynamic and high-traffic environment.

Minimum Qualifications:
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, etc.).
  • Excellent organizational, time management, and multitasking abilities.
  • Strong interpersonal and communication skills.
  • Prior experience in hospitality, facilities coordination, or event management preferred (not required).
