Collinwood is assisting our Partner as they hire an experienced IT Project Manager for an Epic engagement with an Illinois hospital system. (You MUST have Epic experience to be selected for this role.) We are only considering Chicagoland candidates as the selected Project Manager must be available to come onsite as needed for project activities and stakeholder engagements.
In this role, you will manage the definition, design, and implementation of medium to large-scale projects, managing all aspects of the project life cycle to facilitate the delivery of key business processes. You will ensure that activities are carried out in accordance with established specifications, schedules, and budgets; coordinate interdepartmental functions in order to minimize delays. Meet with project team members on a regular basis to review project status and plan future actions.
What we need from you:
- Working and project management knowledge of healthcare applications related to revenue, business, clinical, and technical systems, especially the Epic EMR
- Active PMP certification is required.
- Detail-oriented business analysis skills, problem-solving, and organizational skills; Strong verbal and written communication skills
- Demonstrated skills in the use of Excel, Visio, PowerPoint, and other Microsoft Office products. MS Project, ServiceNow SPM, or other PPM tool experience preferred
- Demonstrated experience managing complex healthcare-related projects in the following domains:
- Clinical
- Business/Administrative
- Diagnostic/Imaging
- Facilities/Construction
- Technical
- Strong knowledge and application of PMBOK methodologies (Project Initiation, Planning, Execution, Monitoring & Controlling, and Closing), both Waterfall and Agile, including:
- Integration, Scope, Time, Cost, Quality, Resource, Communication, Risk, Procurement, and Stakeholder Management.
- Ability to lead cross-functional teams and coordinate with clinicians, business users, IT, and vendors.
- Excellent stakeholder management, communication, change management, risk management, and organizational skills
What you will be doing:
- The PM will be expected to follow the IS PMO PM Methodology and deliver successful end-to-end project implementations. Responsibilities will include:
- Project Planning
- Define project charter, objectives, stakeholders, and success criteria
- Facilitate stakeholder alignment and project kickoff
- Develop detailed project plans, including scope, timeline, resource allocation, and risk mitigation
- Create project schedules and establish reporting cadence
- Execution & Team Management
- Lead project execution, coordinate across departments, and manage deliverables
- Document and manage RIDAC
- Ensure team accountability, resolve issues, and remove barriers
- Monitoring & Controlling
- Track project progress against schedule, scope, and budget
- Manage change control, issues, and risks proactively
- Provide regular status reporting to project leadership, project team, and PMO
- Closing
- Conduct post-implementation reviews
- Document lessons learned and ensure knowledge transfer
- Meet with project team members regularly to review project status, keep the team informed of changes, and plan future actions. Manage and facilitate team and user meetings, conferences, webinars, and telephone calls. Prepare meeting notes; ensure project documents are complete and current. Communicate relevant project information to management
- Manage day-to-day operational and budget aspects of the project and scope; resolve or escalate issues and manage scope creep (expanded project goals). Forecast and compare project costs under different scenarios; manage expenditures throughout the project to meet budgetary controls.
- Gather, analyze, and interpret work processes, financial reports, and other documents. Interpret a variety of scientific/technical or medical terminology instructions in written, verbal, or diagram form to establish facts, define problems, and draw valid conclusions. Identify the business and technical flow of systems, processes, and dependencies to maintain effective project outcomes.
- Plan projects; identify resource needs, funding required, and priority. Manage all aspects of the Program/Project life cycle to facilitate delivery. Develop, drive, and maintain a detailed master project schedule with team input, including schedules, project milestones, metrics, cost estimates, work plans, resources, communication plans, issue resolution plans, and status reports. Identify project risks/gaps and create a risk mitigation plan. Assign individual responsibilities and manage tasks to meet dates.
- Oversee deliverables are assigned to colleagues, vendors, finance, facilities, and others, to ensure timely completion of auxiliary services such as wiring, diagrams & specifications, demonstrations, testing, and equipment deliveries
