Role Description:

Key Responsibilities:

  • -Schedule and coordinate meetings for the Program Manager/Product Owner and the project team.
  • -Assist the program manager and project manager in the preparation of meeting agendas and distribute them in advance of meetings.
  • -Attend meetings, capture detailed and accurate notes, and distribute meeting minutes.
  • -Track, monitor, and follow up on action items, ensuring timely completion.
  • -Compile and summarize reports, presentations, and other program documents.
  • -Interface and communicate with program stakeholders.
  • -Assist in the development and maintenance of program documentation, including schedules, plans, and reports.
  • -Support the Project Manager in project-related tasks, such as tracking progress, managing resources, and coordinating project activities.
  • -Proactively identify and address potential issues or inefficiencies in program operations.
  • -Elevate issues to the attention of the program manager or project manager as appropriate.
  • -Document lessons learned and other project and program related documents.

Qualifications:

  • Proven experience in a project support role.
  • Excellent communication skills, both verbal and written.
  • Strong organizational and time-management skills.
  • Ability to think critically, take initiative, and work independently.
  • Proficiency in Google Workspace and project management type software (such as Jira, Smartsheet, etc.).
  • Exceptional attention to detail, grammar, and spelling.
  • Ability to summarize complex information clearly and concisely.
  • IT experience is highly desirable.

Preferred Qualifications:

  • 2-3 years of experience in project coordination or program support
  • Experience with IT projects
  • Certified Associate in Project Management (CAPM) or similar certifications a plus but not required
