Job Description: Senior Administrative Program Support Specialist
Location: Naval Postgraduate School (NPS), Monterey, CA
Position Type: Full-Time, Onsite (No Telework)
Position Summary
The Naval Postgraduate School (NPS) in Monterey, CA, is seeking a highly skilled Senior Administrative Program Support Specialist to provide comprehensive program management, administrative, travel, and financial support services for the Naval Research Program (NRP).
The NRP, funded by the Secretary of the Navy (SECNAV), supports research initiatives for the Navy and Marine Corps to enhance fleet operations, technical capabilities, and overall readiness. This position will play a critical role in supporting the Program Manager (PM) in managing a Research, Development, Test & Evaluation (RDT&E) portfolio.
This is a senior-level, onsite position requiring strong organizational, financial, and administrative expertise in a government, military, or academic setting.
Key Responsibilities
- Provide full-spectrum administrative and clerical support to the NRP Program Manager.
- Assist with financial tracking, budgeting, and reporting for multi-year research and development programs.
- Coordinate and schedule official travel, workshops, conferences, and stakeholder engagements.
- Maintain program records, documentation, schedules, and correspondence.
- Perform records management, data entry, filing, and general office support.
- Assist in the preparation of reports, analytics, and program metrics for internal and external stakeholders.
- Liaise with program stakeholders across NPS, Navy, and Marine Corps organizations.
- Ensure compliance with internal NRP policies, regulations, and processes.
- Provide exceptional customer service and professional communication on behalf of the NRP Program Office.
Qualifications
Minimum Requirements:
- Bachelor s degree (BA/BS) in Business Management, Finance, Accounting, or a related field.
- At least two (2) years of relevant work experience within the past five (5) years in office administration and management, with responsibilities in finance, accounting, and customer support.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and MAC OS.
- Strong organizational skills with the ability to manage multiple priorities.
- Must be a U.S. Citizen.
Desired Qualifications:
- Prior administrative support experience in a government, military, or academic setting.
- Familiarity with federal research programs, project cycles, or Department of Defense (DoD) administrative processes.
- Experience coordinating high-level meetings, workshops, or conferences.
- Knowledge of financial reporting and program analytics.
Work Location & Schedule
- Place of Performance: Naval Postgraduate School, Monterey, CA.
- Work Hours: Monday Friday, 0730 1630, excluding federal holidays. Adjustments may be approved by the Technical Point of Contact (TPOC).
- This is a non-telework, onsite position.
