Role Overview
The ICT Asset & Contract Management Lead is responsible for managing the full lifecycle of ICT assets (hardware and software), ensuring accuracy within the Configuration Management Database (CMDB), maintaining compliance with licensing agreements, and overseeing ICT vendor and contract management. This role plays a critical part in optimising asset utilisation, reducing costs, ensuring software compliance, and strengthening vendor governance.
Key Responsibilities
IT Asset Management (ITAM)
- Maintain the accuracy of the IT Asset Database and CMDB.
- Ensure all hardware, software, and configuration items are properly registered and tracked.
- Manage the lifecycle of IT assets from procurement through to retirement.
- Track and report on asset performance, location, usage, and relationships.
- Support logistics decisions, including relocation and disposal of assets.
Software Asset Management (SAM)
- Maintain and develop the Software Asset Management system.
- Ensure compliance with software licensing agreements and regulatory requirements.
- Manage vendor entitlements, renewals, and support agreements.
- Conduct regular audits and implement optimization strategies to reduce software costs.
- Identify and drive software consolidation and rationalisation opportunities.
- Provide internal support for software licensing and asset inquiries.
ICT Contract Management
- Structure, review, and negotiate ICT-related contracts, including SaaS, professional services, and infrastructure.
- Collaborate with legal and procurement teams to ensure contract compliance and risk management.
- Manage contract lifecycles including renewals, amendments, extensions, and terminations.
- Monitor key deliverables, milestones, financial obligations, SLAs, and KPIs.
- Develop and maintain ICT contract frameworks, templates, and governance processes.
- Support procurement strategies and vendor selection processes.
- Guide stakeholders on contract and procurement best practices.
Stakeholder Engagement
- Build and manage strong relationships with internal teams (IT, Procurement, Legal, Finance).
- Act as the primary contact for ICT vendors, lease agents, and service providers.
- Provide commercial input and support to procurement and legal teams.
- Drive continuous improvement in ICT asset and contract management processes.
Skills & Qualifications
- Proven experience in IT Asset Management and Software Asset Management.
- Strong understanding of licensing models (Microsoft, Adobe, cloud-based services).
- Experience with CMDB and ITSM tools (e.g., ServiceNow, Lansweeper, Flexera, etc.).
- Solid understanding of contract law, procurement practices, and vendor governance.
- Excellent negotiation, documentation, and analytical skills.
- Strong stakeholder management and cross-functional collaboration skills.
Preferred Certifications (desirable)
- ITIL v4 Foundation or above
- Certified IT Asset Manager (CITAM) or similar
- Microsoft Licensing Specialist
- Contract Management Certification (e.g., IACCM or equivalent)
