Job Title: Accounts Payable Specialist

About the Position

The Accounts Payable Specialist will perform a variety of routine accounts payable functions to ensure timely and accurate processing of invoices and payments.

This includes verifying and matching invoices, maintaining records, reconciling statements, preparing payment runs, and ensuring compliance with company policies and procedures. The role reports directly to the Supervisor, Shared Services Oracle Accounts Payable.

Key Responsibilities

  • Review and verify incoming invoices, ensuring proper matching with purchase orders and receipts.
  • Record and post invoice entries into the accounting system (Oracle).
  • Prepare and process payments, including checks, ACH, or wire transfers.
  • Reconcile accounts payable statements and resolve discrepancies with vendors.
  • Ensure compliance with company policies, internal controls, and SOX requirements.
  • Provide documentation support during internal and external audits.
  • Respond promptly to vendor inquiries and resolve payment-related issues.
  • Maintain accurate AP records and documentation retention systems.
  • Assist with month-end close and other ad hoc projects as assigned.
  • Escalate unresolved or complex issues to the Senior Accounts Payable Specialist or appropriate personnel.

Qualifications & Skills

  • Education: One year of college or technical school accounting coursework; or one to two years of related accounts payable experience; or an equivalent combination of education and experience.
  • Technical Skills: Proficient with Microsoft Office (Excel, Outlook, Word) and general PC applications; experience with Oracle or other ERP systems preferred.
  • Professional Skills:
    • Strong attention to detail, accuracy, and organizational ability.
    • Ability to manage multiple priorities and adapt to changing needs.
    • Solid analytical and mathematical skills.
    • Dependable and self-motivated with a strong customer service orientation.
    • Effective verbal and written communication skills; collaborative team player.
