Job Title: Property and Finance Coordinator

Overview:
We are seeking a detail-oriented and proactive Property and Finance Coordinator to oversee daily property operations and financial activities related to real estate assets. This role requires a strong blend of administrative, financial, and compliance skills to ensure smooth property performance and accurate financial reporting.
Key Responsibilities:
Property Management Support
- Monitor and coordinate day-to-day property operations, ensuring efficient workflows and tenant satisfaction.
- Maintain and update tenant records, lease agreements, and renewal schedules.
- Collaborate with brokers, attorneys, and external agencies on property-related transactions and regulatory compliance.
- Support inspections, code compliance, and permit processes with local authorities.
- Prepare weekly/monthly operational reports and provide insights to leadership.
- Assist with ad hoc tasks and special projects directed by senior management.
Financial Management & Reporting
- Track rent collections, manage accounts receivable, and follow up on delinquencies.
- Oversee accounts payable, ensuring timely processing of vendor payments, utility bills, taxes, and insurance.
- Maintain accurate records of operating expenses and analyze cost trends for budgeting.
- Reconcile property bank accounts and resolve discrepancies in financial records.
- File tax returns and manage compliance with federal, state, and local tax regulations.
- Provide strategic support in managing property tax assessments and minimizing liabilities.
- Maintain and optimize lease-related financial data in the accounting system.
- Ensure the accuracy and integrity of data integration across property and accounting platforms.
- Track capital vs. operating expenditures and support accurate reporting for renovations and upgrades.
Compliance & Controls
- Adhere to GAAP and ensure compliance with real estate industry standards.
- Stay updated on financial regulations and support necessary policy and process adjustments.
- Safeguard company assets by ensuring proper financial controls, reporting, and documentation.
Qualifications:
- Bachelor's degree in Finance, Accounting, Real Estate, or related field preferred.
- 2 4 years of experience in property management and/or financial coordination.
- Strong understanding of lease administration, tax reporting, and financial software integration.
- Proficient in MS Excel and property management/accounting systems (e.g., Yardi, QuickBooks).
- Excellent organizational, analytical, and interpersonal skills.
