Our client, a Social Services organization in Oakland, is looking for a talented Operations Manager to join their team on a full-time basis. The Operations Manager works closely with the Chief Operating Officer to develop and oversee standardized procedures for administrative staff in Support Services and Client Services. This role ensures alignment with Accounting and HR policies, monitors staff performance, provides feedback, and conducts disciplinary meetings as needed. The Operations Manager reports to the COO and directly supervises the Support Services Supervisor, Client Services Supervisor, and Custodian. This role is 100% onsite in Oakland and the salary range is between $90,000 - $100,000 annually depending on experience.
NOTE: Candidates MUST have professional level fluency in English and Spanish to be considered.
RESPONSIBILITIES:
- Oversee and manage the facilities of the client's Oakland offices, as well as various remote locations.
- Provide assistance and support to building tenants as needed.
- Collaborate with the COO and HR department to foster a positive and productive work environment.
- Monitor departmental performance by tracking key metrics and reporting results to executive leadership.
- Provide coverage for staff in the Support Services and Client Services departments during absences or staffing shortages.
- Serve as a backup for the Support Services Supervisor and Client Services Supervisor when needed.
- Assist in managing and resolving customer complaints in a timely and professional manner.
- Address and resolve service and contract-related issues involving clients, employees, and Regional Center staff.
- Identify inefficiencies and improvement opportunities in interdepartmental processes and workflows.
- Review and approve departmental supply orders to ensure timely procurement and budget compliance.
- Oversee special projects and coordinate the rollout of new operational processes.
- Document and report IT-related issues to the appropriate support teams for resolution.
- Manage the organization s vehicle fleet, including maintenance scheduling and usage tracking.
- Oversee alarm systems and security protocols for all office locations.
- Provide support with routine HR administrative tasks as needed.
- Availability for occasional overtime may be required based on operational needs.
QUALIFICATIONS:
- Minimum of 3-5 years of Administrative or Operations experience.
- Professional level fluency in both English and Spanish.
- Strong written and verbal communication skills, with the ability to compose clear and grammatically correct content in English and Spanish.
- Proficient in computer use and digital tools; well-acquainted with the Microsoft Office Suite.
- Demonstrated project management skills with the ability to plan, execute, and support initiatives effectively.
- Self-motivated and proactive; capable of working independently with minimal supervision.
- Fair-minded, modest, and committed to fostering a respectful workplace.
- Culturally competent, with the ability to relate to individuals from diverse backgrounds, cultures, and abilities.
- Detail-oriented and focused, able to maintain productivity under deadlines and in dynamic environments.

- Must possess a valid driver s license and have access to a reliable personal vehicle.
PHYSICAL REQUIREMENTS:
- May be tasked with lifting, carrying, pushing or pulling up to 25 lbs., if able to do so.
- Must be able to sit for prolonged periods of time and walk/stand for moderate periods of time.
- Must be able to bend at the knees and waist frequently
- Must be able to repetitively use a telephone and a computer mouse and keyboard.
