Job Details
Title: Data Administrator, Engineering B
Position Overview : The Data Administrator, Engineering B, supports engineering projects by efficiently managing administrative duties, coordinating and tracking formal deliverables, and maintaining meticulous documentation records. This role involves regular interaction with engineering personnel, regulatory authorities, class societies, vendors, subcontractors, and yard staff. The position reports directly to the Engineering Data Manager.
Typical Duties
Execute administrative and coordination tasks assigned by Project Engineers.
Act as the central point of contact between Engineering, Integrated Logistics Support (ILS), Purchasing, Accounting, Production Control, and management teams.
Manage tracking and maintenance of Program Change Documentation including Engineering Change Proposals (ECPs), Engineering Change Requests (ECRs), Technical Publications (TPs), Technical Instructions (TIs), Purchase Technical Specifications (PTS)/Statements of Work (SOWs), Requests for Proposals (RFPs), Requests for Variances (RFVs), and Government Furnished Information (GFI/GFIDs).
Audit and maintain detailed, dynamic logs documenting program design decisions and modifications.
Review, validate, and distribute Purchase Technical Specifications to suppliers and vendors.
Receive, organize, and systematically archive vendor data in compliance with departmental and regulatory standards.
Quickly acquire familiarity with materials management, yard operations, regulatory requirements, and internal company policies/procedures.
Generate and deliver engineering metrics and project status reports as necessary.
Promptly address inquiries related to project coordination and data management.
Assemble, track, and oversee project-related documentation, including technical drawings, correspondence, feedback, deliverables, and transmittals.
Support Contract Data Requirements List (CDRL) activities, ensuring accurate submissions, tracking, and reporting.
Conduct routine administrative compliance audits to ensure adherence to established engineering processes.
Oversee project documentation within SharePoint to guarantee accuracy, accessibility, and compliance.
Execute data management tasks utilizing Integrated Data Environment (IDE), handling secure data transfers, reviews, and approval processes.
Serve as liaison to regulatory bodies and class societies, ensuring accurate and timely documentation submissions.
Regularly update and report Knowledge Management System (KMS) status, monitoring lien statuses during scheduled meetings.
Knowledge, Skills, and Abilities
Solid understanding of engineering administration and documentation practices.
Strong interpersonal and written communication skills with the ability to engage effectively with diverse teams, including Program Management, Engineering, and Production.
Exceptional organizational skills, capable of effectively handling extensive and complex project data.
Proven ability to independently manage and prioritize multiple concurrent tasks.
Strong teamwork, collaboration, and interpersonal skills.
Intermediate proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
Basic AutoCAD skills strongly preferred.
Familiarity with configuration and change management practices specific to federal shipbuilding or similar regulated environments.
Comprehensive understanding of shipbuilding documentation standards and configuration control processes.
Familiarity with the Ships Work Breakdown Structure (SWBS).
Experience in database management and query development (Microsoft Access, SQL Server, Oracle preferred).
Ability to establish and maintain positive working relationships across all organizational levels, including vendors, subcontractors, and regulatory representatives.
Demonstrated proactive approach, self-motivated, with the ability to perform under pressure and tight deadlines.
Additional Requirements
Ability to read and interpret technical documents, specifications, and regulatory guidelines.
Detail-oriented with excellent problem-solving skills.
Previous experience working within regulatory compliance frameworks preferred.
