Job Summary:
In this role, you will provide document management support by using ECMS (Enterprise Content Management Systems), distributing, maintaining, and retrieving project records in accordance with company guidelines. You will assist with customer service, questions, issues, updates, quality checks, and project closeout activities. Your attention to detail and data accuracy will help ensure successful compliance with document and records management procedures.
Major Responsibilities:
Independently provides document and/or records management support
Reviews, logs, distributes, maintains, retrieves, and files project records and revision-controlled documents (e.g., drawings, specifications, supplier submittals, correspondence, material requisitions, construction work packages, change documents, etc.) in accordance with established procedures, instructions, and guidelines
Performs and documents quality checks
Monitors and reviews data entry accuracy for self and support staff
Education and Experience Requirements:
2-3 years of relevant work experience.
Required Knowledge and Skills:
Demonstrates strong organizational skills, with attention to detail and to accuracy.
Excellent written and oral communication skills - there will be a need to keep regular contact with project personnel.
Must possess and demonstrate ability to work effectively in a fast-paced, high energy, team environment.
Experience of uploading and downloading documents from a file transfer medium.
Experience of entering documents into EDMS systems to Include full version control and population of properties -InfoWorks (Documentum).
Experience of using the EDMS query system to support Client / project users in the use of the EDMS.
Working to deadlines and managing time and workload. We anticipate the flow of documents to fluctuate.
Willingness to get involved with overall project document management activities where required.
Able to handle multiple tasks.
