Logistics & Inventory Specialist


Supplementary to the duties of a warehouse operative, you are involved in logistical planning and operational processes. Planning, scheduling, organizing and controlling all inventory-related activities in accordance with legislative requirements fall into your area of responsibility. This role requires a strong background and understanding of inventory control (including serial number, lot numbers and expiration date management), shipping and logistics coordination (including international), and quality-controlled processes, preferably in the healthcare sector. This position reports to the Logistics Manager and frequently interacts with internal teams, external partners and customers, and suppliers.



Essential Job Duties & Responsibilities but not limited to:



Assist in the coordination and administration of all inventory and logistical activities


Coordinate with internal departments and direct Supervisor to prepare orders, prioritize activities and ensure timely completion of established objectives.


Ensure proper receipt, inspection, cleaning and storage of products and materials to established quality procedures


Maintain accurate records of material receipts and shipments, and the movement of products and inventory between sales and clinical personnel, distribution network and customer facilities.


Monitor system inventory levels at all warehouses; plan and perform fulfillment, replenishment and return shipment activities.


Communicate with shipping services and couriers to schedule pickups, negotiate rates, and file claims for lost or damaged goods.


Maintain current working knowledge of customer and distributor shipping requirements, international shipping policies, FDA regulatory requirements, and medical congress shipping and logistics.


Prepare, track, and control field inventory for all congresses, workshops, rentals, demos, and training.


Participate in inventory control and planning meetings.


Assist in customer complaint management and respond to customer requests regarding technical specifications and quality problems.


Lead physical inventories and periodic cycle counts for in-house product as well as all distribution networks.


Train and develop staff


Maintain a clean and organized warehouse and working area


Support management by performing projects and other tasks as assigned by Supervisor.


Will be working to support all other departments.



Skills and Qualifications:



Minimum 3 years of Warehouse, Logistics and Inventory control responsibilities (preeferably in the healthcare sector)


Prefer QC and/or technical experience


Attention to detail and accuracy


Strong organizational and multitasking skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment


Excellent communication and interpersonal skills to effectively interact with internal teams, external partners, and suppliers


Proficiency in logistics software and tools for tracking shipments, managing inventory, and analyzing data (i.e., ERP)


Inventory management software experience (movement and distribution) preferred


Experience with enterprise resource planning (ERP) systems and Microsoft suite (Outlook, Excel, Word)


Customer service focus


Able to work independently or with team


Full proficiency in English, spoken and written


Friendly, helpful, confident, and engaging personality


Open to the occasional overtime work
