We plan and execute a wide range of events from employee experience events to executive briefings and customer-facing experiences to foster collaboration, innovation, and a vibrant workplace culture. About the Role
We are seeking an energetic, detail-oriented Workplace Events Coordinator to join our team. As a key member of the Workplace Events team, you will support the execution of a high volume of events at our San Francisco offices. This role is highly hands-on and focuses on day-to-day event operations, ensuring every detail is covered and each event runs smoothly. You'll thrive in this position if you love working in a fast-paced environment, enjoy rolling up your sleeves, and have a passion for creating exceptional experiences for employees and guests.This role is based onsite in San Francisco, CA and requires being in-office 5 days per week, with occasional evening work as needed.

Key Responsibilities:

  • Support event planning and execution across a variety of events, including employee experience events, executive briefings, and customer engagements.
  • Manage day-of logistics, such as room/event space booking, venue setup, vendor coordination, catering, AV support, and guest check-in.
  • Coordinate closely with workplace support teams (catering, AV, facilities, corporate security) to ensure seamless event operations.
  • Assist with event materials, including signage, name badges, guest lists, shipping logistics, and managing event supplies.
  • Provide on-site event support, troubleshooting issues in real time and ensuring a smooth experience for all attendees.
  • Work closely with cross-functional departments to ensure events align with company goals and address the needs of different teams. Assist other team members with their event-related tasks and provide support as needed to ensure the overall success of the events team.
  • Track feedback and outcomes to help evaluate event success and suggest areas for improvement.

  • 2+ years of event coordination or related experience, preferably within a corporate, employee experience, or hospitality setting.
  • Love building workplace experiences to foster mission-aligned team growth and collaboration.
  • Strong organizational skills, with the ability to manage multiple tasks and deadlines simultaneously.
  • Detail-oriented and proactive, with a can-do attitude and a passion for getting things done.
  • Excellent communication and interpersonal skills, able to collaborate with team members, vendors, and stakeholders at all levels.
  • Comfort working with organizational tools like Google Docs/Calendar, Notion, Jira, and Airtable. Familiarity with event management tools (e.g., Prismm, Swoogo) is a plus.
  • Flexibility to work evenings as needed to support events.
