Position Summary: We're looking for a talented individual to take on the role of COUPA System Administrator. In this role, you'll be at the helm of our COUPA user experience (UX), ensuring smooth design, implementation, and maintenance. Your duties will include managing system configuration, customization, version releases, punchout APIs, and the COUPA Supplier Portal (CSP). You'll work closely with our IT department to resolve middleware integration issues. As the go-to COUPA expert, you'll create and deliver training for both new and existing users and suppliers, offering ongoing support. By leveraging insights from the COUPA Community, you'll maximize opportunities with COUPA Advantage Suppliers and enhance tool functionalities. Your work will ensure tool adoption, process efficiency, and optimized spending. Regular interaction with leaders across the organization will be essential for troubleshooting, resolving roadblocks, driving continuous improvement, and supporting strategic goals.



This is a direct hire position with a hybrid schedule in Bloomington, MN. The range for the position is $75,000-$90,000 + bonus.



Responsibilities:



COUPA System & Technology Management:



  • Handle the UX design, configuration, build, testing, and implementation of new features and functionalities within COUPA releases.

  • Collaborate with IT on integrations between COUPA and other platforms, solving problem resolution and system efficiency issues.

  • Manage account groups, charts of accounts, approval chains, workflows, custom objects, forms, user permissions, and other necessary configurations.


Supplier Enablement & Middleware Management:



  • Partner with Supplier Enablement teams and IT on middleware (APIs, punchouts, mobile apps) to ensure seamless data flow between internal and external systems and suppliers.


Training & Support Provision:



  • Act as the COUPA subject matter expert, overseeing employee training and vendor onboarding.

  • Create, maintain, and deliver training materials (infographics, videos, newsletters) to employees and suppliers.

  • Review COUPA release notes, integrate new functionalities, and communicate changes to stakeholders.


Process Improvement & Service Standards:



  • Identify continuous improvement opportunities in procurement-to-pay, Supplier Onboarding, Contract, and Sourcing processes.

  • Utilize dashboards and generate insights to monitor, report, and analyze efficiency and utilization data.

  • Recommend process improvements for service levels, user adoption, license utilization, spending efficiencies, and internal controls effectiveness.

  • Develop strategies to implement recommendations.


Collaboration:



  • Work closely with Accounting, Accounts Payable, Project Management, and IT departments, fostering trust relationships with staff and leaders.


Audit Support:



  • Participate in internal audits of the Purchasing and AP functions.

  • Support organizational needs for internal/external audits and regulatory exams, providing necessary information for expense accruals.


Quarterly Access Review:



  • Conduct and manage quarterly access reviews and SOX audits to ensure correct user roles through audits and user provisioning requests.


Performance Management:



  • Meet performance expectations in quantity, quality, and cultural alignment.


Requirements:




  • Education:

  • Bachelor's Degree in Accounting, Computer Science, or a Business-related field from an accredited university.

  • COUPA Certification is preferred.

  • Other relevant certifications will be considered.


Experience:



  • Five (5+) years of relevant experience in purchasing, sourcing, accounts payable, accounting, or a related field.

  • Three (3+) years of experience with configuration and implementation of enterprise P2P tools (COUPA preferred).

  • Strongly preferred experience in developing and executing implementation strategies, capturing business requirements, solution design, user acceptance testing, and training.
