About the Role

The Senior Space Management Advisor (SSMA) serves as a key advisor for space management, providing expert technical guidance and support to the OBO Integrated Workplace Management System (IWMS) Program Manager on all matters related to space utilization. The SSMA will be responsible for coordinating and managing resources related to SEC space management, conducting space audits, managing system upgrades, and ensuring optimal space usage through planning and design.

Key Responsibilities

IWMS Management

  • Serve as the IWMS Administrator, handling tasks such as user management, security auditing, troubleshooting system issues, and overseeing system access.
  • Ensure accurate personnel, occupancy, and space data is maintained in the IWMS, processing data calls and coordinating with Office of Human Resources (OHR).
  • Act as the primary Point of Contact (POC) for IWMS support, liaising with the OIT IWMS support team for system enhancements and upgrades.
  • Manage and update AutoCAD drawings (XRef files) for all SEC space and create drawing templates.

Space Management

  • Develop reports and documentation for space management, including evaluations of space assignments and utilization.
  • Analyze personnel and equipment needs, and recommend space assignments and improvements for maximum space efficiency.
  • Perform space walk-through audits to assess and verify space usage.
  • Coordinate with OBO/SEC personnel and external vendors to ensure space documentation and data are current and compliant with SEC standards.
  • Document work and data flows using Visio to improve workflows and space utilization processes.

Space Projects

  • Act as the project POC for all inquiries regarding space assignments.
  • Develop and coordinate space/seating scenarios for restacksreorganizationsmoves, and efficiency projects.
  • Work closely with multi-disciplinary teams to design and develop floor plans, layouts, and workflow charts.
  • Assist with space analysis (square footage, floor capacity, usage, etc.) and compile data reports.
  • Review project plans and construction requirements, considering personnel, office equipment, and special facilities to recommend solutions.

Team Oversight and Administrative Duties

  • Verify the accuracy of completed projects for both the SSMA and Space Management Advisors (SMA).
  • Attend top-management meetings (10 per month) and other necessary meetings.
  • Supervise and review work performed by SMA(s).
  • Ensure compliance with SEC policies and procedures, maintaining high standards of ethical conduct and professionalism.

Required Qualifications

  • 8–10 years of experience as a Space Management Advisor.
  • Expert knowledge of SEC’s IWMS space management software (currently ARCHIBUS v25).
  • Expert knowledge of commercial and government office space planning, including GSA space assignment policies and BOMA space standards.
  • Proficiency in AutoCAD (latest version) to efficiently manipulate and manage drawings.
  • Strong knowledge in developing programs using AutoLISP for automating AutoCAD routines.
  • Excellent presentation, communication, and interpersonal skills, with the ability to engage with decision-makers and stakeholders professionally.
  • Strong attention to detail and the ability to multi-task under tight deadlines.
  • Organizational skills with the ability to manage multiple priorities effectively.
  • Ability to work independently and as part of a team in a fast-paced, deadline-driven environment.
  • Professional demeanor and ability to maintain positive internal and external relationships.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Working knowledge of Excel Visual Basic Programming.

Preferred Qualifications

  • Ability to read and understand construction documents and blueprints.
  • Knowledge of OSHA and ADA requirements, building, and safety codes.
  • Ability to quickly learn new planning, drawing, design, and specification software.
  • Experience in space management for large-scale government or corporate environments.
