Job Summary:
Our Client is seeking a skilled and detail-oriented Business Analyst to support the implementation of a Digital Preservation System (DPS). This role will be pivotal in ensuring that the new system aligns with the company s digital archiving, compliance, and long-term records management objectives. The Business Analyst will play a critical role in bridging the gap between stakeholders (business, archives team, and digital preservation system vendors) and the technical implementation team. Their responsibilities are both strategic and operational, ensuring that the solution meets organizational and archival requirements.
Responsibilities:
Discovery & Requirements Gathering

  • Engage with Archives, Information Security, and other IT teams to gather business, technical, archival, and compliance requirements.
  • Facilitate workshops, interviews, and validation sessions to ensure stakeholder needs are understood and addressed.
  • Document workflows and processes related to archival data handling, access, and security.
  • Analyze compliance requirements related to personal data, and other sensitive content.

Analysis & Design

  • Assess current records management and archival processes to identify gaps and define future-state workflows aligned with digital preservation objectives.
  • Translate business needs into functional and non-functional requirements based on preservation standards (e.g. OAIS model, ISO 14721, ISO 16363).
  • Assist in defining metadata requirements using standards such as ISAD-G, PREMIS, METS, and Dublin Core.
  • Collaborate with IT and security architects to assess system integration points and information risks.
  • Maintain traceability matrices and produce core business analysis artifacts.

Implementation Support

  • Support metadata mapping and validation during system integration and migration efforts.
  • Contribute to user acceptance testing (UAT), issue tracking, and validation of preservation and ingest functions (e.g. fixity checks, format migration).
  • Participate in vendor assessments, proof-of-concept exercises, and system configuration decisions.
  • Monitor project progress and support acceptance testing of implemented solutions.

Governance & Compliance

  • Ensure alignment with company policies (e.g., GAO.26, OAP) and international digital preservation standards.
  • Assist in defining governance and audit frameworks for the digital preservation system.
  • Prepare documentation for governance approvals, sign-off, and audit readiness.

Minimum Qualifications:
Must Have

  • 8+ years experience as a Business Analyst, with the last three years as a Lead/Senior Business Analyst working on SAAS platforms.
  • Strong understanding of data classification, retention, and access control frameworks.
  • Proficiency with business analysis tools (e.g., Azure, BPMN, JIRA, Confluence, Visio).
  • Strong analytical, communication, and stakeholder engagement skills.

Nice to Have

  • Experience as a Business Analyst, in records management, digital archives, enterprise content management projects, information governance, or cybersecurity domains.
  • Experience translating complex archival workflows into structured requirements.
  • Bachelor's or Master's degree in information systems, Library and Information Science, Archival Science, or a related field.
  • Any industry-relevant certification is desired.

Minimum Experience: Must Have

  • Experience with both Waterfall and Agile/Scrum environments is expected.
  • Proven ability to work in cross-functional teams and navigate complex organizational structures.

Nice to Have

  • Familiarity with digital preservation standards, principles, and technologies.
  • Experience with metadata standards (e.g., PREMIS, Dublin Core), and digital preservation tools or platforms (e.g. Archivematica, Preservica) is a plus.
  • Experience working in or with multilateral organizations, government institutions, or other regulated environments is highly desirable.
  • Understanding of the OAIS Reference Model and other archival frameworks.
  • Knowledge of information governance, data lifecycle management, and records retention policies.

Technologies/Tools (Preferred):

  • Microsoft 365 (including SharePoint Online, Teams, Excel)
  • Visio or Lucidchart (for process modeling)
  • Azure DevOps, Jira/Confluence (for backlog and documentation tracking)
  • Power BI or Excel (for basic data analysis)
  • GRC tools (e.g. Archer, ServiceNow IRM) nice to have
