Job Overview

We are seeking an experienced Project Manager with strong expertise in procurement, vendor management, maintenance renewals, analytics, and IT asset lifecycle. This role will lead end-to-end delivery of procurement support, OPEX maintenance renewal processes, dashboard analytics, and program governance for hardware and infrastructure programs.
The ideal candidate has a background working with cross-functional teams, vendors, and procurement departments, and can deliver highly structured documentation, reporting, and strategic recommendations.

Key Responsibilities

  1. Procurement Support

Hardware Procurement Strategy & Planning

  • Develop comprehensive Procurement Requirements Documents outlining technical and business needs for all hardware categories.
  • Review and validate Bill of Materials (BOM) for accuracy, specifications, and lifecycle requirements.
  • Build Sourcing Strategies, including preferred vendors, competitive bidding approaches, and framework agreements.

Vendor Management & RFP Process

  • Create complete RFP packages including specifications, deliverables, SLAs, evaluation criteria, and scoring matrix.
  • Conduct market price benchmarking comparing vendor quotes against historical and industry pricing.
  • Coordinate RFP vendor Q&A communication and documentation.
  • Produce detailed Bid Evaluation Reports with scoring, rationale, and recommendations.

Contracting & Purchase Execution

  • Prepare a Negotiation Plan outlining levers, pricing targets, SLA priorities, and risk considerations.
  • Deliver Final Commercial Terms Summaries with negotiated pricing, warranties, discounts, and delivery commitments.
  • Compile Procurement Approval Packages for leadership and finance teams.

  1. Opex Maintenance Renewal Support

Maintenance Portfolio Assessment

  • Reconcile installed base including serial numbers, warranty expirations, EOL/EOS status, and support tiers.
  • Perform Coverage Gap Analysis to identify under- or over-covered assets.
  • Build 12 36-month renewal calendars with prioritized scoring.

Renewal Strategy & Cost Optimization

  • Create Maintenance Optimization Reports for right-sizing support levels, consolidating agreements, and reducing redundant coverage.
  • Compare vendor renewal quotes against industry benchmarks.
  • Prepare Negotiation Briefs including counter-offers and financial modeling.

Renewal Execution

  • Develop Final Renewal Evaluation Packs summarizing quotes, negotiated savings, and recommended renewal actions.
  • Maintain an Updated Contract Repository with active agreements, terms, and renewal dates.

  1. Dashboard & Analytics Deliverables

Requirements & Data Setup

  • Document Dashboard Requirements Specifications including KPIs, data inputs, update frequency, and access controls.
  • Build Data Integration Maps connecting procurement systems, vendor portals, and asset databases.

Dashboard Build & Analytics

Deliver dashboards in Power BI / Tableau / Looker / Excel, containing:

Procurement KPIs

  • Spend by vendor/category
  • Quote cycle times
  • Savings vs. targets
  • RFP status
  • CAPEX/OPEX budget vs. actuals

Maintenance KPIs

  • Warranty/contract expiration timelines
  • Renewal pipeline (30/60/90/180 days)
  • Coverage gap metrics
  • Maintenance cost trends
  • Realized savings

Operational KPIs

  • SLA compliance
  • Vendor performance scoring
  • EOL/EOS alerts

Analytics Reports

  • Quarterly Spend Analysis
  • Lifecycle & EOL Risk Assessments
  • Savings Realization Reports
  • Forecasting models for 1 3 years

  1. Program Management
  • Develop Project Charters, timelines, and roadmaps.
  • Maintain weekly status reports, RAID logs, and stakeholder updates.
  • Prepare monthly governance packs for leadership reviews.
  • Create and execute Stakeholder Communication Plans.

  1. Final Deliverables
  • SOW Closeout Report covering outcomes, KPIs, savings, and future recommendations.
  • Knowledge Transfer documentation and live walkthrough sessions.

Qualifications

  • 7 10+ years of Project Management experience, preferably in IT procurement, hardware lifecycle, or vendor management.
  • Strong knowledge of RFP processes, sourcing, negotiations, and maintenance contracts.
  • Experience developing dashboards in Power BI, Tableau, Looker, or Excel.
  • Excellent communication, documentation, and stakeholder management skills.

PMP or similar certification preferred (not required).
