Job Description: Billing Specialist (Accounting Specialist)

Location: Remote

Duration: 6 months to start with

About the Position

The Billing Specialist will oversee the end-to-end billing process, ensuring accuracy, compliance, and timeliness in all invoicing activities. This position plays a key role in maintaining the integrity of billing data, managing customer accounts, and resolving billing-related issues.

The role requires attention to detail, analytical thinking, and strong customer service skills to support both internal and external stakeholders.

Key Responsibilities

  • Review all processed customer invoices for accuracy against sales orders, shipping documents, and customer records.
  • Ensure invoices comply with company policy and support receivables ledger management.
  • Monitor and report on key billing KPIs, including invoice accuracy and timeliness.
  • Process and resolve disputes and credit memos as needed.
  • Respond promptly to customer billing inquiries and escalate issues appropriately.
  • Maintain strong relationships with internal teams and external customers.
  • Communicate customer payment activity and deposits with the Accounts Receivable (AR) function.
  • Collaborate with internal departments to resolve account discrepancies and recommend process improvements.
  • Support month-end closing activities, including reconciliations and reporting.
  • Participate in quarterly Oracle Cloud upgrade testing, User Acceptance Testing (UAT), and other system updates.
  • Assist with quarterly and annual audits as needed.

Qualifications & Experience

  • Education: Two years of college or technical school in accounting, or equivalent work experience.
  • Experience: 2 4 years of related billing or accounting experience.
  • Technical Skills:
    • Proficient in Microsoft Office (Excel, Word, Outlook).
    • Experience with ERP systems (Oracle Cloud preferred).
    • Familiarity with SOX compliance is a plus.
  • Professional Skills:
    • Strong analytical and mathematical aptitude.
    • Exceptional attention to detail and accuracy.
    • Excellent organizational and multitasking abilities.
    • Dependable with a high sense of accountability.
    • Effective written and verbal communication skills.
