Role: Project Coordinator

Location: Phoenix, AZ(Onsite)

Note: Only locals to Arizona

  • Tentative start date will be dependent upon interviews conducted, onboarding completed, and the state agency issuing a PO.

The IT Project Coordinator will lead and oversee the execution of IT projects, ensuring that deliverables are completed on time, within scope, and according to business objectives. This role is responsible for planning, coordinating, and managing IT projects, from initiation to completion. Working closely with stakeholders and cross-functional teams, the Project Coordinator will drive project timelines, manage resources, resolve issues, and ensure project success. The role will also include maintaining IT documentation. In addition to standard project management tasks, the IT Project Coordinator will be responsible for managing tasks and tickets in Asana, ensuring proper tracking, task documentation and resolution. This role will ensure that IT-related objectives are met efficiently.

Key Duties and Responsibilities:
-Lead and manage IT projects through their entire lifecycle, ensuring they meet scope, timeline, and budgetary requirements.
-Develop and maintain project plans, including resource allocation, project schedules, milestones, and timelines.
-Agile/Waterfall Methodology Knowledge: Apply appropriate project management methodologies (e.g., Agile, Waterfall, Hybrid) based on project needs and team structure.
-Coordinate communication between internal teams and stakeholders to ensure alignment on project goals, updates, and deliverables.
-Manage stakeholder relationships and expectations, ensuring all parties are aligned and informed of project progress, risks, and any required adjustments to the scope, timeline, or resources.
-Application Management: Manage tickets for Upkeep & Maintenance submissions, ensuring tickets are correctly logged in project management systems.
-Manage IT process documentation, ensuring it is up-to-date and accessible to teammates and leadership.
-Prepare and deliver project reports, presentations, and status updates for stakeholders and leadership, ensuring transparency in project progress.
-Ensure allocated developer resources have clear user stories, requirements and acceptance criteria: Verify that all necessary information is provided to support their work and prevent delays or confusion.
-Identify and mitigate project risks, proactively addressing any issues that could impact project deliverables, timelines, or budget.
-Oversee change management processes, ensuring scope changes, timeline shifts, and budget modifications are appropriately documented and communicated to stakeholders.
-Leverage Asana for task management and documentation tracking, ensuring that tickets and tasks related to documentation updates are logged, assigned, and tracked through to resolution.
-Stay Current on training materials, to ensure competency on new processes, technologies or required agency standards.
-Post-Implementation Support/Transition: After the project is completed, the IT PM should ensure there is a smooth transition to ongoing support or operations.
-Facilitate meetings, including project kickoffs, status updates, and post-mortems, ensuring agendas are set, minutes are taken, and action items are tracked and centrally stored.
-Ensure project documentation is organized, easily accessible, and properly archived for future reference and compliance purposes.

-Foster team collaboration, resolving minor conflicts within the project team and encouraging positive communication to maintain project momentum.
