Overview

GovCIO is currently hiring an Senior Process Analyst for our program with the US Coast Guard. This position will be located in Alexandria, VA area and will be an on-site position.

Responsibilities

The Senior Process Analyst will provide comprehensive, high-level administrative support to senior U.S. Coast Guard officials in Alexandria, VA. This critical role demands daily onsite presence and the ability to operate effectively within a secure, fast-paced military environment. The ideal candidate will be a self-starter with exceptional organizational skills, capable of managing complex operations and maintaining strict security protocols.

  • Expertly manage and maintain highly dynamic and complex calendars for senior leadership, prioritizing events, resolving conflicts proactively, and orchestrating real-time changes to maximize operational efficiency.
  • Draft, review, edit, and prepare all senior-level correspondence (memos, formal letters, reports, briefings) for signature, ensuring strict adherence to proper military and government formats, grammar, and policy guidelines. Manage and meticulously track action items using official government task management procedures.
  • Coordinate all logistics for high-level meetings, conferences, and official visits (e.g., VIP visits), including scheduling secure rooms/VTC, managing invitations, and preparing detailed "read-ahead" packages for leadership.
  • Serve as the primary point of contact and liaison for internal and external offices, effectively communicating with senior DoD, military, and interagency partners while maintaining professional protocol and high-level relationships.
  • Coordinate general office administrative functions, including visitor access control. Establish and refine Standard Operating Procedures (SOPs) to enhance workflow efficiency.
  • Establish and maintain highly organized electronic filing systems for administrative documents in strict compliance with government records management policies.


Qualifications

Associate's with 5 - 8+ years (or commensurate experience)

Required Skills and Experience
  • Minimum of 5+ years of recent and relevant experience providing executive-level administrative support within a DoD or U.S. Coast Guard environment.

Clearance Requirement: Must be clearable up to an active Secret or Public Trust clearance.

Preferred Skills and Experience
  • US Coast Guard experience is highly preferred.
  • Familiarity with Agile & Hybrid Delivery Models.
  • Exceptional written and verbal communication skills, with mastery of military correspondence standards and the ability to draft materials for senior review with precision.
  • Superior organizational skills and impeccable attention to detail, with the ability to prioritize and manage multiple simultaneous tasks effectively in a dynamic environment.
  • High proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint).
  • Strong independent judgment and discretion when handling highly sensitive and confidential information.

Posted Pay Range

The posted pay range, if referenced, reflects the range expected for this position at the commencement of employment, however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, education, experience, and internal equity. The total compensation package for this position may also include other compensation elements, to be discussed during the hiring process.
