Russell Tobin & Associates is currently seeking a Workplace Move Program Manager to work for our client, a leading AI research and deployment company dedicated to ensuring that artificial general intelligence (AGI) benefit all of humanity. The Move Integration Program Manager will lead the integration, coordination, and execution of complex workplace move transitions across the company's office portfolio
Pay: $70-$80/hr. based on experience
Location: San Francisco, CA
Schedule: M-F (HYBRID 3x per week)
About the Role
This role serves as a cross-functional integrator ensuring smooth physical moves while aligning each transition with broader occupancy, workplace, and business goals. You will act as the connective tissue between teams such as Occupancy Planning, Design & Construction, Corporate Security, IT, People Ops, Security, and Executive Business Partners to deliver seamless end-to-end move experiences.
Key Responsibilities
Move Strategy & Planning
Lead cross-functional move programs from early strategy through post-move stabilization for office restacks, team expansions, and campus-wide relocations.
Align move scenarios with occupancy forecasts, adjacency priorities, and business continuity needs.
Interpret high-level stacking/blocking plans/move scenarios and develop move list.
Develop move communications and migration timelines that integrate space, technology, and behavioral needs.
Conduct Post-Move surveys, interviews, focus groups to iterate and learn from end users about their move experience to ensure an exceptional occupancy outcomes.
Program Execution & Cross-functional Leadership
Serve as the single point of contact across REW, IT, Security, People, and external vendors to ensure integrated move execution.
Coordinate physical relocations, including furniture, equipment, signage, IT setup, locker distribution, and employee communications.
Establish and drive move command centers and escalation protocols during critical move phases.
Employee Experience & Change Management
Deliver move experiences that are high-touch, high-trust, and minimize disruption to team workflows.
Partner with Executive Business Partners and Workplace team to conduct pre-move walkthroughs, communications, and post-move feedback loops.
Develop move surveys, knowledge base content, and orientation materials to reinforce adoption of new spaces and behaviors.
Reporting & Continuous Improvement
Track metrics on move satisfaction, occupancy accuracy, and churn rates to identify pain points and iterate processes.
Own documentation for move processes and toolkits, and contribute to the development of scalable systems for global expansion.
Present updates to senior leadership and influence decision-making on move results and move resource management.
What We re Looking For
10+ years of experience in move management, change management, occupancy planning, and/or real estate operations in a high-growth, fast-paced environment.
Proven success managing cross-functional move programs involving 1,000+ employees across multiple sites or phases.
Exceptional organizational and stakeholder management skills, with a consultative and proactive communication style.
Strong problem-solving ability and adaptability; thrives amid ambiguity and shifting priorities.
Familiarity with tools such as CAFM systems (e.g., OfficeSpace), Google Workspace, project management platforms, and floor planning tools.
High emotional intelligence with a service-oriented mindset; capable of navigating sensitive stakeholder dynamics with tact.
Experience working with technical, operational, and executive teams preferred.
Bonus Experience
Background in change management, workplace design, or occupancy strategy.
Experience leading move initiatives across international locations.
Prior work in AI, technology, or startup environments.
