job summary:

Our organization maintains a strategic partnership with a leading analytics provider that includes a dedicated Program Manager and team of project managers who perform standard program and project management functions. This includes coordination with a team of subcontracted developers.


As a Project Manager within our organization, you will collaborate with the vendor's project management team throughout the project lifecycle to ensure initiatives move forward within schedule, budget, scope, and allocated resources.


Key Responsibilities



  • Serve as the organizational liaison with vendor project management teams
  • Schedule and facilitate the review and approval of critical project artifacts including:


    • Project abstracts and concept documents
    • Statements of work (SOWs)
    • Comprehensive project plans and timelines
    • Risk logs and remediation plans
    • Business and technical requirements documentation
    • Solution design documentation
    • Quality assurance test plans

  • Ensure organizational priorities and compliance requirements are incorporated into all project deliverables
  • Maintain internal visibility and reporting on vendor-managed projects
  • Facilitate stakeholder communication and decision-making processes
  • Monitor project progress against established milestones and deliverables
  • Identify and escalate risks, issues, and dependencies affecting project success
  • Support internal change management processes related to vendor-delivered solutions


This role requires strong collaboration skills, attention to detail, and the ability to effectively represent organizational interests while maintaining productive vendor partnerships.

responsibilities:


  • Schedule and facilitate the review and approval of the following project artifacts provided by vendor:


    • Abstracts
    • Statements of work (SOWs)
    • Project plans
    • Risk logs and remediation plans
    • Requirements documentation
    • Design documentation
    • QA test plans

  • Track the timely delivery of artifacts against contractual requirements
  • Track timely response or updates to project artifacts when additional refinement is required


Meeting Coordination & Follow-up



  • Participate in vendor project and operational meetings
  • Track the completion of tasks by internal teams, vendor, and subcontractor resources against established deadlines
  • Track the delivery of meeting minutes against contractual requirements and review for clarity and alignment
  • As needed, schedule, lead, and facilitate meetings with various stakeholders
  • Communicate effectively with vendor, internal teams, subcontractors, and external stakeholders


Project Tracking & Reporting



  • Collaborate with vendor project managers to define high-level project tracking and status reporting dashboards or reports
  • Utilize project and task management applications such as MS Project, Jira, ServiceNow, MS Planner, and Asana
  • Work closely with the Program Manager to understand the broader context of projects and their intended impact in meeting program goals


Organizational Alignment



  • Maintain awareness and understanding of the agency's strategic business vision, mission, objectives, and priorities
  • Stay informed about relevant legislation, governance, and funding sources & deadlines
  • Provide collaborative support for standard operating procedures (SOPs) including documentation, diagrams, KPIs, and continuous improvement


Internal Project Management


For internal projects with low-to-medium complexity, provide:



  • Full project management lifecycle support and documentation, including scoping, requirements, and scheduling
  • Adoption of agile, waterfall, or hybrid methodologies as appropriate
  • Regular high-level or detailed project status reporting and presentations
  • Support for internal standard operating procedures (SOPs) including documentation, diagrams, KPIs, and continuous improvement
