Deliverables and Detailed Qualifications

The expense expert working on the Expenses Implementation needs to produce the following deliverables and they should possess the qualities listed here to do so.

  • Requirements Gathering - During the Requirements Gathering phase the expense expert will need to review the requirements that have been identified and documented during the 2023 Expenses Fit/Gap Analysis project, complete a deep dive into requirements gathering, and produce a full requirements traceability matrix.
    • They'll need the experience of implementing the expense module to understand the full requirements, what has been missed, and potential challenges that may result in additional unforeseen requirements.
    • The expenses analyst will need to possess leadership skills to work through the requirements gathering process with the other analyst assigned to the project and subject matter experts.
    • They'll also need to collaborate with the change management resource on the project team to identify any additional subject matter experts that they may need. It is preferred that the expense expert have previous experience working in an academic setting to understand the various groups from whom they'll need to gather requirements.
    • Requirements need to be categorized into fits and gaps by the expenses expert in collaboration with the other analyst on the project team which will require the analyst to have a solid understanding of expenses on recent tools and image versions.
    • Berkeley Financial Systems is currently on PUM47/PT8.60 and plans to upgrade to PUM50/PT8.61 in Fall 2024. This falls in the development timeline, so understanding the upgrade process will be critical as well
  • Configuration Documents - The expense expert will need to complete configuration documents related to the requirements that are 'fits' in functionality according to the BFS template.
  • Functional Specifications -.The expense expert will need to complete functional specification documents related to the requirements that are gaps in functionality according to the BFS template. They'll need to collaborate with the stakeholders to clearly define the requirements in the functional specification documents and ensure that it is understood by the developer assigned to the project team.
  • System Tests - System tests will need to be created for all of the requirements listed in the requirements traceability matrix. This will need to be done in collaboration with the other analyst on the project team. The expenses expert will need to execute the system tests in the initial testing phase.
  • Integration Testing - There are 7 systems that the expense module will need to interface with. The expenses expert will collaborate with the other analyst on the project team to ensure that all of the required tests are documented and tested during the initial testing phase.
  • PTF Test Scripts - Automated testing is essential to BFS and our efficiency when performing regular testing. The expenses expert will need to work with the team we contract to create PTF test scripts. They will have to participate in meetings and create recordings that the PTF team can work from.
