Seeking a Workplace Management Administrator to support all systems associated with workplace management tooling (Space Reservation, Visitor Management, Move Management) and any integrations to support those tools (Access Management Integration, Reporting, Condeco, Nuvolo).

responsibilities:

o Facilities: Providing this team with space reservation, move management, wayfinding, and space management product support. Partners closely to provide tier 3 level support for all in place platforms.


o Physical Security: Supports the visitor management software and hardware solution. Supports the integration of Lenel with the Appspace Platform.


o Communications: Supports the Digital Signage solution.


o Vendor Relationship: Partners with the Appspace SAM to delivery quality product support to users and partners.


o Continuous Improvement: Looks at operational processes and recommends ways to improve efficiency and quality for customer delivery and support.


o Visitor Management: Support the operational demands coming from this project. Integrate any new processes or customer needs into existing support processes and standards.


o API Integration with Lenel Access Control: Support the operational demands coming from this project. Integrate any new processes or customer needs into existing support processes and standards.


o Facilities Move Management Process Improvement: Learn and support the Nuvolo system during this review. Help translate operational processes from that system to improve the existing system or integrate a new one.


o Reports & Analytics: Build and schedule Appspace reports from the existing system as needed. Learn and support any new reporting integrations to help support the reporting needs of our customers.


o As new sites come online, support those sites and ensure that the system is functioning properly.


o Condeco Sunset: Support operational processes as needed and help translate new processes into the Appspace ecosystem


o Updates/Changes: Support updates and changes to the system via a custom-built bulk process. This process involves getting the changes from the facilities team, adding data from Appspace records, and running the bulk process from our internal server. Run this multiple times a week to ensure all adds/moves/changes are processed as soon as we get them.


o Security/Permissions: Support changes, updates, and additions to security groups (100+ today) for permissions to different areas of the corporate buildings. As requests come in, make updates and changes including building out new security groups as needed.


o User Access: Partner with the IDAM team to ensure the automation around user adds in maintained and works properly. Occasionally the SCIM process will fail or break. Work with the team to repair it so new users are added automatically and terminated users are removed.


o Digital Signage: Maintain and build out devices as needed for the digital signage product. Currently evaluating a rebuild of the directory structure for the Digital Signage to allow it to function in-line with the Reservation Product topology. The existing structure causes a larger number of problems. This needs to be rebuilt from the ground up.


o Reporting: Pull reports manually today as facilities requests them. Provide them with reports by manually combining data from multiple reports. This should be automated fully.


o Platform Updates: Appspace updates their platform every 2-4 months. Review those updates/changes, communicate to the user base anything that is impactful, and evaluate the roll out of any new features. Adjust any administrative items that need changed to make sure the platform operates properly.


o Directory Maintenance: Includes building and maintaining the directory structure inside Appspace. Currently the digital signage portion needs to be completely rebuilt. Full support and maintenance of the space reservation side




qualifications:

- 2+ years of product, platform, and/or service support experience. Focused on end user facing technology and support.


- 1+ year(s) of experience partnering with internal teams (technical and non-technical) to support SaaS and internally hosted platforms for end users and customers.


- 3+ years of experience and strong competency with Microsoft Office Products (Word, Excel, PowerPoint, Teams). Working in large-size Excel sheets with multiple data tables.


- 2+ years of technical customer support experience with fast-changing environments and high-volume operational support.
